What we use to deliver Dynamics 365 for healthcare companies

Only what the first phase needs is switched on; more follows in later phases.

What we deliver

Dynamics 365 for Healthcare Companies in Dubai: what is included

Dynamics 365 for healthcare companies in Dubai covers the business side of a DHA-licensed clinic group: practitioner licence tracking, insurance claim rejections and resubmissions, corporate health contracts and procurement across branches.

01

DHA licence and credential tracker

Every doctor, nurse and allied professional has a record with DHA licence number, category, expiry date and required renewals. Power Automate warns HR and the medical director ninety days before expiry, so no practitioner is rostered at a Dubai branch with a lapsed licence.

02

Claim rejection follow-up

Claims are submitted through the payers' systems, but rejections often end up in spreadsheets. Remittance data is imported into Dataverse, rejections are grouped by payer and reason code, and each is assigned as a case with a resubmission deadline.

03

Corporate health contracts

Many Dubai employers buy pre-employment checks, vaccinations and wellness days in bulk. Dynamics 365 manages each corporate contract, its price list and utilisation, and Business Central invoices the employer monthly with VAT applied correctly.

04

Multi-branch procurement

Consumables, dental materials and medicines are requested by branch, approved centrally and received against purchase orders in Business Central. Stock by branch with lot and expiry dates reduces emergency local purchases and expired write-offs.

05

Patient enquiries and complaints

Calls, WhatsApp messages and web enquiries become Customer Service cases with the branch, service line and response time recorded. Complaints follow a defined workflow with escalation to the branch manager, supporting DHA patient experience expectations.

06

Revenue per branch and payer

Power BI combines clinical system billing, claim outcomes and finance data to show revenue, rejection rate and collection days per branch, specialty and insurer. Management sees which payers and services actually pay on time.

A worked example

Keeping clinic equipment serviced and calibrated

How Dynamics 365 for healthcare companies in Dubai looks in practice. Illustrative; every project is scoped to the business.

Purchases overview report for Business Central
Purchases overview report for Business Central. Screenshot: Microsoft Learn documentation, CC BY 4.0.

Picture a Dubai dental and dermatology group with seven clinics in Jumeirah, Al Barsha, Dubai Marina and Mirdif. Each clinic holds dental chairs, autoclaves, lasers and imaging units that need planned servicing and calibration by different vendors. Service dates live in a shared spreadsheet, certificates sit in emails, and an inspection once found an autoclave overdue for validation.

  1. Register every device in Business Central as a fixed asset with serial number, clinic, vendor and service contract, including warranty end dates.
  2. Create planned maintenance schedules in Dynamics 365 Field Service or Power Apps, generating work orders for vendors and reminders to clinic managers.
  3. Store service reports and calibration certificates in SharePoint against each device, with a Power BI view of anything overdue or due within a month.
What changes: Clinic managers know which devices are due for service before inspections, certificates can be found in seconds, and procurement can compare vendor performance and cost across all branches when contracts come up for renewal.

UAE specifics

What changes in Dubai

The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.

DHA licensing in Dubai

Dubai facilities and practitioners are licensed by DHA, while other emirates use DOH or MOHAP. Groups operating across emirates can hold each licence type in one tracker; we confirm the current licensing requirement at scoping.

NABIDH where eligible

NABIDH is Dubai's health information exchange for licensed facilities. Clinical data exchange belongs to your clinical system; where a facility is eligible, we scope any integration carefully and never claim a certified connection.

Health data privacy

Patient data is sensitive under the PDPL and health data rules. We keep clinical notes in the clinical system, limit Dynamics to operational data, and host in Microsoft's UAE data centre regions where required.

Working with businesses in Dubai: we support companies across JAFZA, DMCC, Dubai Silicon Oasis, Dubai Internet City, DIFC, Al Quoz and Dubai South, with remote delivery and on-site workshops where the project needs them.

Cost and integrations

What drives the cost, and what it connects to

No price list: we quote a fixed price in AED after discovery. These are the factors that move the effort up or down.

Number of devices

Registering hundreds of devices across several Dubai clinics takes data collection, serial number checks and cleansing before import, which is often the largest single task in the project.

Maintenance schedule variety

Different devices need different intervals, vendor visits and calibration steps. More device types and vendors mean more schedules to design, test and keep current after go-live.

Certificate and document handling

Storing service reports and calibration certificates with search and expiry alerts adds SharePoint structure, metadata and automation beyond a basic equipment list.

Vendor participation

If vendors update work orders themselves through a portal, you need portal setup and vendor training. Recording vendor visits internally is simpler and cheaper to start with.

What it connects to

Business Central fixed assets

Devices, purchase costs and depreciation are held in Business Central, with maintenance spend posted against each asset and clinic.

SharePoint

Service reports, calibration certificates and manuals are stored against each device, with expiry dates driving reminders to clinic managers.

Vendor email

Work orders go to equipment vendors by email from Dynamics 365, and their completion reports are attached back to the device record.

Microsoft Teams

Clinic managers receive maintenance reminders and overdue alerts in a Teams channel and can confirm visits from their phones.

Power BI

Overdue servicing, upcoming calibrations and maintenance cost by vendor and clinic are shown to operations and procurement leads.

How it works

How we deliver Dynamics 365 for healthcare companies

Phases, indicative timing and what is delivered in each. Scope is fixed and priced in AED before we start.

1Weeks 1-2

Discovery

We review licensing, claims follow-up, procurement and complaints processes, and the export options of your clinical system.

2Weeks 3-4

Privacy design

Agree which data enters Dynamics, which stays in the clinical system, role-based access and retention under the PDPL and health data rules.

3Weeks 5-10

Build

Configure the licence tracker, claims workspace, corporate contracts, procurement, case handling and dashboards, with demos to branch managers.

4Weeks 11-12

Test

Run one branch through a full claims and procurement cycle using real remittance files and purchase requests.

5Weeks 13-14

Go-live

Roll out across branches and support the first month's claim resubmissions, licence alerts and supplier payments.

When Dynamics 365 for healthcare companies is the wrong answer

Dynamics 365 is not an electronic medical record, clinical decision tool or insurance claims engine, and we do not configure it as one. If you need an EMR, choose a licensed clinical system first. Single clinics with one location usually get more value from Zoho CRM and Zoho Books at lower cost.

How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.

Before you buy

Checklist and common mistakes

Buyer's checklist

What to ask for before you choose a provider.

  • Ask the provider to show a device register that records serial number, clinic, vendor contract and next service date in one place.
  • Confirm how planned maintenance reminders reach clinic managers and vendors, and how completion is recorded with a certificate.
  • Check how equipment records stay separate from patient data, so the system never holds clinical information it does not need.
  • Ask how vendor service costs will be compared across branches when maintenance contracts are renewed.
  • Require a report of overdue and upcoming servicing that clinic managers can review before DHA inspections.
  • Confirm the solution can extend to consumables and procurement later without rebuilding the equipment register.

Common mistakes

What we see go wrong in the UAE, and how to avoid it.

  • Registering devices without serial numbersAsset lists without serial numbers cannot be matched to vendor reports or recalls. Collect serials during a physical walk-through of each clinic before import, even though it takes time.
  • Mixing equipment and patient dataAdding patient details to maintenance records creates unnecessary health data risk. Keep maintenance records about devices only and leave clinical data in the clinical system.
  • Certificates kept only in emailWhen certificates live in inboxes, they vanish when staff leave. Store them against each device with an expiry date that drives the next reminder.
  • No owner at each clinicReminders sent to nobody in particular get ignored. Name a responsible person per clinic who confirms vendor visits and uploads certificates. Give them a backup for leave.

FAQ

Dynamics 365 for Healthcare Companies in Dubai: questions we get asked

Does Dynamics 365 for healthcare companies in Dubai replace our clinical system?
No. Your EMR or practice management system stays in charge of clinical records and claim submission. Dynamics 365 handles the business around it: licence tracking, rejection follow-up, corporate contracts, procurement, complaints and finance, fed by exports or APIs from the clinical system.
How does it help with insurance claim rejections?
Remittance files from payers are imported, rejected lines are grouped by reason and payer, and each becomes a case with an owner and deadline. Management sees rejection rates and recovered amounts per branch instead of waiting for month-end spreadsheets.
How is this different from the UAE-wide Dynamics 365 healthcare page?
The UAE page covers patient and referral CRM, appointments and general privacy. This Dubai page focuses on DHA licence tracking, claim rejection follow-up, corporate health contracts and multi-branch procurement for clinic groups licensed in Dubai.
Can it integrate with NABIDH?
Clinical data exchange with NABIDH is the job of your clinical system. Where a facility is eligible and a specific operational need exists, we scope integration carefully, but we do not claim any certified NABIDH integration for Dynamics 365.
Which licences does a clinic group need?
Customer Service Enterprise for contact centre staff, Business Central Essentials at USD 70 or Premium at USD 100 per user per month for finance and procurement, and Team Members at USD 8 for branch approvers, via Microsoft or a CSP.
How long does it take and how is it priced?
A clinic group with several Dubai branches usually goes live in twelve to fourteen weeks. We give a fixed quote in AED after a free discovery call, separate from Microsoft licence fees, and hold workshops at your Dubai branches.
Can Dynamics 365 track medical equipment servicing across Dubai clinics?
Yes. Devices are registered with serial numbers, locations and vendor contracts, and planned maintenance schedules create work orders and reminders. Service reports and calibration certificates are stored against each device, so clinic managers can show when equipment was last serviced during an inspection or audit.
Does equipment maintenance need Dynamics 365 Field Service?
Not always. Field Service suits groups with many devices and vendor scheduling needs. Smaller Dubai groups can manage schedules with a Power Apps app on Dataverse linked to Business Central fixed assets, which costs less. We recommend one after counting devices and vendors in discovery.
Can we compare vendor maintenance costs between our clinics?
Yes. Vendor invoices post against each device and clinic in Business Central, so Power BI can show maintenance cost by vendor, device type and branch. Procurement teams use this when renewing service contracts or deciding whether older devices should be replaced instead of repaired.
Why choose Shyphan?
We are a Zoho Premium Partner, an Official Odoo Partner and an independent Dynamics 365 consultancy that also builds AI and custom software, so we recommend by fit rather than by what we resell. Delivery runs from our Ras Al Khaimah office with remote delivery across all seven emirates.
