Business software for UK companies, built and run properly
Shyphan is an Authorized Zoho Partner and software engineering team working with British businesses on three fronts: implementing the Zoho suite, building custom software when nothing off the shelf fits, and putting AI to work where it actually pays back. Fixed quotes in GBP, delivery on UK working hours.

Three practices, one delivery team
Most companies end up with a Zoho partner, a development agency and an AI consultancy who have never spoken to each other. We run all three, so the CRM, the bespoke system around it and the automation on top are designed as one thing.
Zoho implementation
CRM, Books, One, People, Creator, Desk, Projects, Inventory and Analytics, implemented, migrated and supported by an Authorized Zoho Partner. Making Tax Digital and UK VAT handled properly, not bolted on.
- Zoho CRM, Books and One rollouts
- Migration from Salesforce, HubSpot, Sage, Xero or QuickBooks
- Managed support and admin cover
Custom software
When the process genuinely does not fit an off-the-shelf product: web applications, mobile apps, portals, MVPs, SaaS products and internal systems. Prototype before build, source code in your ownership.
- Web and mobile application development
- MVPs, SaaS products and B2B portals
- Systems integration and custom ERP
Applied AI
Chatbots, agents, document processing and business automation, grounded on your own data with a human in the loop. Narrow, measurable pilots first, so you find out inside a month whether it is worth scaling.
- Customer-facing chatbots and voice agents
- Document processing and data extraction
- AI inside your CRM and ERP
Every Zoho application, not just the CRM
Most partners sell one or two apps well. We implement the suite, which matters because the value of Zoho is not any single product - it is that sales, finance, HR, support and projects finally share one record of the truth.
CRM, Books, One, People, Payroll, Creator, Desk, Projects, Inventory, Analytics, FSM, Recruit, Commerce, Campaigns, Sign, Flow and the rest. We will also tell you which of them you do not need.

Works with what you already run
Nothing here requires you to throw out the tools that are working. We connect what earns its place, replace what does not, and make the boundary between the two explicit before we start.
Also connected on UK projects: Salesforce, Microsoft 365, Teams, Slack, LinkedIn, Amazon, Pipedrive, GoCardless, Worldpay, Monday.com, DocuSign, Power BI and Open Banking feeds. If it has an API - or even a nightly file drop - we have almost certainly connected something like it before.
The work we are most often called in for
Twelve engagements that make up the bulk of what UK clients ask us to do. Each one is scoped and quoted as a fixed price before any work starts.
Built for the way your sector actually works
The configuration that suits a recruitment agency is not the one that suits a contractor. These are the sectors where we have done the work often enough to start from a known-good position rather than a blank screen.
The British bits we handle as standard
A system that is not ready for HMRC is not finished, whatever the demo looked like. These are configured during the build, not raised as a change request afterwards.
If you operate more than one entity, or trade in more than one currency, say so on the first call. Retrofitting an entity split after a year of mixed transactions costs far more than setting it up correctly on day one.
- UK VAT & Making Tax DigitalVAT codes, reverse charge and MTD-compatible filing to HMRC through recognised software.
- PAYE & pension-ready payrollPayroll data structured for RTI submissions and auto-enrolment, reconciled to the ledger.
- UK GDPRLawful-basis fields, consent capture, retention rules and a signed data processing agreement.
- Sterling and multi-currencyGBP base with EUR and USD trading, exchange differences posted automatically.
- UK banking and paymentsOpen Banking feeds, plus Stripe and GoCardless for card and Direct Debit collection.
- Companies House and CIS awarenessEntity records and, for construction clients, CIS-aware subcontractor handling.
The questions your IT and legal teams will ask
Most of these come up at contract stage and hold projects up for weeks. Here are the answers in advance, so procurement has something to work with on day one.
Delivery is remote by default, which is what keeps the price down and the timeline short. Where discovery, data migration or training genuinely benefits from being in the room, we schedule on-site attendance in London, Manchester or Birmingham - and say so in the quote rather than adding it later.
From first call to live in five clear steps
No discovery invoice, no open-ended day rate. You know the scope, the price and the date before anyone starts building.
- 01Discovery call
Thirty minutes on what you run today, what is not working, who it affects and what a good outcome looks like. Free, and with no sales sequence afterwards.
- 02Blueprint and fixed quote
A written plan: the applications, the customisations, the integrations, the timeline and a fixed price in GBP. You can take it to another partner if you want to.
- 03Build and migrate
We configure and build, then migrate your data from Salesforce, HubSpot, Sage, Xero, QuickBooks or spreadsheets, cleaning duplicates on the way in.
- 04Train and go live
Admin and end-user training, a parallel run against the old system for the first cycle, then launch. Nobody is asked to trust the new system blindly.
- 05Support and improve
An optional care plan on UK hours with a named consultant: new users, new automations, and the enhancements that only become obvious once people are using it.
What the engagement actually feels like
- One named consultant, start to finishThe person who scoped it is the person who builds it. No handover to a delivery pod you have never met.
- A weekly call and a written summaryWhat shipped, what is next, what is blocked and what we need from you. Fifteen minutes, every week, in writing.
- Working software early, not at the endYou see the first configured module inside two weeks and react to something real rather than to a specification.
- Straight answers about scopeIf something you have asked for is a bad idea, or cheaper done another way, we say so before it is built.
Three ways to work with us
Pick the one that matches how much of the problem is already defined. We will tell you on the first call which we think fits, including when that is the cheapest option rather than the largest.
Fixed-scope project
When you know roughly what you need
- Written scope and a fixed price in GBP
- Phased releases, not one big launch
- Training and handover included
- Thirty days of post-launch cover
Managed service
When you need it run, not just built
- A named consultant, not a ticket queue
- SLA-backed response on UK working hours
- A monthly pool of hours for changes
- Quarterly review of what to improve next
Embedded team
When the roadmap is longer than one project
- Developers and consultants working to your backlog
- Productive in about two weeks
- Your tooling, your standards, your code repository
- Scale up or down at a month’s notice
What this looks like against the usual options
The honest version. There are jobs where a reseller is the cheaper answer and jobs where a large consultancy is the safer one. This is where we sit between them.
| Shyphan | Licence reseller | Large consultancy | |
|---|---|---|---|
| Commercials | Fixed price in GBP, agreed before work starts | Licence margin, implementation charged loosely | Day rates, scope grows with the engagement |
| Who does the work | The consultants you met, named in the quote | Often subcontracted onward | Partners sell, juniors deliver |
| Beyond the platform | Custom software and AI in the same team | Platform only; anything else is out of scope | Available, at a different rate card |
| Time to first value | Three to five weeks for a first live app | Fast to licence, slow to configure | Months of discovery before anything ships |
| UK compliance | VAT, MTD, PAYE and GDPR set up in the build | Left to you and your accountant | Covered, at cost |
| Ownership | Your data and your source code, no lock-in | Account tied to the reseller | Deliverables owned, methods retained |
| When we are the wrong call | You only need licences at the lowest price | - | You need a global rollout across 20 countries |
A certified team you can actually verify
Partner status is easy to claim and easy to check. Ours is listed on Zoho’s own directory, and the individual certifications below are held by named people on the delivery team, not by the company in the abstract.
Is this the right fit for you?
This suits UK companies of roughly 10 to 500 staff that have outgrown spreadsheets and a drawer of disconnected tools, where somebody internally can own the data and make decisions. If that is you, the first system usually pays for itself inside the first two quarters.
It is a poor fit if you are looking for the cheapest possible licence reseller, if the requirements are still changing weekly, or if nobody internally has the time to be the counterpart. In any of those cases we will say so on the first call rather than after the invoice.
The questions we get asked first
Are you an authorized Zoho partner in the UK?
Do you actually work with UK clients, or just sell into the UK?
How long does a rollout take?
What does it cost?
Can you handle Making Tax Digital and UK VAT properly?
We already run Sage, Xero or QuickBooks. Can you migrate us?
How do you handle our data under UK GDPR?
What happens if we want to leave?
Do you build things that are not Zoho?
What does the first conversation cover?
