Is this the right fit for you?

This suits UK companies of roughly 10 to 500 staff that have outgrown spreadsheets and a drawer of disconnected tools, where somebody internally can own the data and make decisions. If that is you, the first system usually pays for itself inside the first two quarters.

It is a poor fit if you are looking for the cheapest possible licence reseller, if the requirements are still changing weekly, or if nobody internally has the time to be the counterpart. In any of those cases we will say so on the first call rather than after the invoice.

The questions we get asked first

Are you an authorized Zoho partner in the UK?
Yes. Shyphan AI Solutions is an Authorized Zoho Partner and is listed on Zoho’s own partner directory, which you can check independently rather than taking our word for it. Partner status means Zoho has vetted us and that you get a named implementation team rather than a reseller account.
Do you actually work with UK clients, or just sell into the UK?
We deliver on UK working hours (GMT/BST) with a UK contact number and a UK-specific delivery approach: VAT and Making Tax Digital, PAYE, UK GDPR and sterling. Delivery is remote by default, which is what keeps the price down, with on-site attendance in London, Manchester or Birmingham where discovery or training genuinely warrants it.
How long does a rollout take?
A single-app Zoho rollout for a small team typically goes live in three to five weeks including data migration and training. Multi-entity, multi-currency or heavily automated builds run six to twelve weeks and we phase them, so the first group is working while the next is configured. Custom software ships a first usable version in six to ten weeks, and a scoped AI pilot reaches real users in three to five.
What does it cost?
Every engagement is quoted as a fixed price in GBP after a free discovery call, with the scope written down so the number does not move unless the scope does. Zoho licence fees are billed by Zoho directly, usually per user per month, and we show them separately so you can see what is our fee and what is the software.
Can you handle Making Tax Digital and UK VAT properly?
Yes, and it is configured during the build rather than raised afterwards as a change. That means VAT codes and reverse charge set up correctly, MTD-compatible filing to HMRC through recognised software, and a ledger that reconciles. The filing itself stays with your accountant; our job is to make their work straightforward.
We already run Sage, Xero or QuickBooks. Can you migrate us?
Yes. We migrate customers, suppliers, open balances, historical transactions and stock, clean the duplicates on the way in, and run the old system alongside the new one for the first cycle so nothing is taken on trust. Migration from Salesforce, HubSpot, Pipedrive, Monday and spreadsheets is equally routine.
How do you handle our data under UK GDPR?
We sign a data processing agreement before any data moves, work on the least access needed to do the job, and set up lawful-basis fields, consent capture and retention rules inside the system itself. Zoho’s European data centre residency is available if you want your data held in the EU rather than elsewhere.
What happens if we want to leave?
You own your data and, on custom builds, your source code. There is no lock-in clause and no exit fee. We hand over documentation, admin credentials and the repository, and we will do a handover call with whoever takes it on. A partner who has to trap clients to keep them is not one worth hiring.
Do you build things that are not Zoho?
Regularly. Zoho covers most business processes well, and when it does not we say so rather than bending the platform into a shape it was not meant for. That is when the custom software and AI practices pick it up, and because it is one team the bespoke system is designed to sit alongside the platform rather than beside it.
