Overview

Why Irish firms choose ERPNext with a partner

ERPNext is open-source software released under GPLv3 by Frappe. You pay nothing per user, the source code is yours to inspect, and the core covers Accounting, Selling, Buying, Stock, Manufacturing, Projects, Assets, Quality, Point of Sale and Website. For an Irish SME outgrowing Sage or a pile of spreadsheets, that breadth means one ledger, one item master and one customer record instead of five tools that disagree at month end.

What ERPNext does not ship with is an Irish localisation. There is no ready VAT3 report, no Revenue connection and no Irish statutory payroll. That gap is where a partner earns its keep. We configure Irish tax templates, build the VAT3 and Return of Trading Details figures as reports your accountant can check, pass pay data to an Irish payroll package, and keep the system patched and upgraded long after go-live.

How it flows

From first record to the finished report

One open-source system, so each step feeds the next without re-keying.

What you get

What our ERPNext partnership covers

Discovery and fit workshop

We map how quotes, orders, deliveries, invoices and payments move through your business today, mark what ERPNext does out of the box and agree in writing what needs configuration, a custom app or another tool.

Irish VAT configured properly

Item tax templates, sales and purchase tax templates and tax categories are set for every Irish rate, so invoices, credit notes and supplier bills carry the right VAT and the VAT3 report reads straight from posted entries.

Frappe Framework development

When a process genuinely differs from standard, we build it as a separate custom app with its own doctypes and scripts. Your changes stay clear of core code, which makes later version upgrades far less painful.

Frappe HR alongside ERPNext

Employee records, leave, attendance, shifts and expense claims run in Frappe HR. Gross pay inputs go to your Irish payroll package each period, and the journal returns so wages land in the right cost centres.

Hosting that suits you

Choose managed Frappe Cloud in an EU region or a self-hosted bench on your own cloud account. Either way we set up backups, monitoring, SSL and a staging site, and write down exactly how to restore.

Support and annual maintenance

After go-live, a fixed annual maintenance contract covers user questions, fixes, minor changes, security patches and planned major-version upgrades tested on staging first, so nobody gets an unpleasant surprise on a Monday morning.

How ERPNext meets Irish requirements

TopicThe Irish ruleWhat we set up
VAT ratesRevenue applies a standard VAT rate of 23%, reduced rates of 13.5% and 9%, a livestock rate of 4.8% and a zero rate. Each sale and purchase must carry the correct one.We create one item tax template per rate, assign defaults by item group and set tax categories for EU and non-EU customers, so the right rate fills in automatically on every document.
VAT3 and RTDMost businesses file VAT3 returns, usually every two months, plus an annual Return of Trading Details, through ROS, the Revenue Online Service.ERPNext has no built-in VAT3, so we build reports that total sales and purchase VAT by period and rate, ready for keying into ROS. We never claim a direct ROS link.
PayrollUnder PAYE Modernisation, every pay run is reported to Revenue in real time, and each employee's Revenue Payroll Notification sets their PAYE, PRSI and USC deductions.Frappe HR has no Irish statutory payroll, so pay runs in BrightPay, Sage Payroll, Collsoft or Thesaurus. We export hours, leave and allowances from Frappe HR and import the payroll journal back.
Data protectionPersonal data falls under GDPR and the Data Protection Act 2018, and the Data Protection Commission is the Irish regulator. We host in an EU region, restrict roles and permissions by department, switch on document versioning and help you set retention rules for customer and employee records.

We configure the system and check it against your accountant’s figures; we are not tax advisers, and your accountant files the returns. Last reviewed 24 October 2026.

How it runs

How a typical ERPNext project runs

1

Scope and plan

Workshops with finance, operations and sales produce a written scope, a module list, a data migration plan and a fixed price, so you know what is included before any configuration starts.

2

Configure and build

We set up companies, the chart of accounts, Irish tax templates, warehouses, item groups and workflows, then build any custom app agreed in scope on a staging site you can open.

3

Migrate and test

Customers, suppliers, items, open balances and open documents load into staging. Your team runs real scenarios, from a quotation through to a VAT3 report, and signs off each one.

4

Train and go live

Role-based training for finance, warehouse and sales users, a written cut-over plan for the switching weekend and hands-on help through the first live VAT period.

5

Support and improve

Annual maintenance keeps the site patched and upgraded, while a short quarterly review picks the next improvements, such as new management reports, a customer portal or an online store.

FAQ

ERPNext Partner in Ireland: questions answered

Is Shyphan an official Frappe partner?
We describe ourselves as an ERPNext implementation partner and do not claim an official Frappe partner tier or certification. Our team implements, customises, migrates and supports ERPNext and the wider Frappe apps, including Frappe HR, Helpdesk, Insights and Frappe CRM. On a discovery call we are happy to explain our technical approach and show how we would handle your processes.
Does ERPNext file VAT returns with Revenue?
No. ERPNext has no native Revenue or ROS integration. We configure Irish VAT templates and build reports that produce the VAT3 and Return of Trading Details figures from your posted transactions. Your accountant reviews those figures and files them on ROS as usual, which keeps a clear human check on every return.
Are there really no licence fees?
ERPNext is open source under GPLv3, so there is no per-user licence charge however many staff log in. You still pay for hosting, either a Frappe Cloud plan or your own servers, and for implementation and support work. The difference is that those costs do not climb every time you hire someone.
How does ERPNext compare with Odoo or Zoho for an Irish company?
Odoo has an Irish accounting localisation and a large app catalogue, with some features reserved for its paid Enterprise edition. Zoho is a cloud suite with EU data centres and per-user pricing. ERPNext is fully open source but has no Irish localisation, so VAT reporting is configured by a partner. The right choice depends on budget, in-house skills and how much you want to own the code.
Can you work with our accountant?
Yes, and we encourage it. Your accountant signs off the chart of accounts, the VAT template mapping and the opening balances before go-live. We share trial balances and sample VAT reports from staging so they can test them against their own working papers and raise questions early.
Do you have an office in Ireland?
No. We deliver remotely on Irish time, GMT in winter and Irish Standard Time in summer, and travel for on-site workshops when a project needs them. Our nearest office is in London, and the same team stays with your project from scoping through to support.
