What we use to deliver Dynamics 365 for education
Only what the first phase needs is switched on; more follows in later phases.
Dynamics 365 for Education in the UAE: what is included
Dynamics 365 for education in the UAE suits universities, higher-education branch campuses and school groups already on Microsoft 365 that want student recruitment, applicant portals, student service cases and fee finance on one Microsoft stack.
Student recruitment pipeline
Enquiries from fairs, agents, web forms and social campaigns flow into Dynamics 365 Sales with source tracking. Counsellors work a pipeline from enquiry to application to enrolment, and agent commissions are tracked per student.
Power Pages applicant portal
Applicants create an account, upload transcripts, Emirates ID or passport, and track their application status in Arabic or English. Admissions staff review documents in Dataverse and trigger offer letters from templates.
Student service desk
Student queries on fees, visas, transcripts and IT become Customer Service cases with queues by department and SLAs. A knowledge base answers common questions, and repeat issues show up in reports.
Fee finance and sponsors
Business Central holds fee invoicing, instalments, scholarships and sponsor billing, where employers or government bodies pay on a student's behalf, with sponsor statements, ageing by sponsor and fee holds passed back to the registrar.
SIS and LMS integration
Enrolled students are created in the SIS by integration, and status, programme and fee holds flow back to Dataverse, so service agents see the same record the registrar sees and do not have to ask students to repeat details.
Enrolment and retention analytics
Power BI reports conversion from enquiry to enrolment by source, programme and agent, plus fee collection and case volumes, giving leadership one view across all campuses and intakes, refreshed daily.
Agent-led international student recruitment
How Dynamics 365 for education in the UAE looks in practice. Illustrative; every project is scoped to the business.

For example, a UAE university branch campus recruits many international students through overseas recruitment agents in South Asia and Africa. Applications arrive by email with scanned documents, agents chase commission by spreadsheet, and admissions staff cannot tell which agents bring students who actually enrol and stay beyond the first semester.
- Give recruitment agents a Power Pages portal to submit applications with documents, see status updates and view commission due for enrolled students.
- Track each application in Dynamics 365 Sales through offer, visa and enrolment stages, recording the introducing agent against the student.
- Calculate agent commission in Business Central when the student is enrolled and fees paid, with clawback rules if they withdraw early.

Which platform for Dynamics 365 for education in the UAE?
An honest comparison. We implement all of these, so the recommendation follows your processes, team and budget.
| Option | Best when | How it fits this need |
|---|---|---|
| Dynamics 365 Sales with Power Pages | Agent-heavy recruitment with a Microsoft 365 campus | Fits UAE universities and colleges that recruit through agents and already use Microsoft 365. The agent portal, pipeline and commission calculations connect in one Microsoft stack. |
| Student recruitment CRM | You want education-specific features ready without configuration | Specialist admissions CRMs come with application forms and agent modules built in. They can be quicker for recruitment alone but may duplicate finance and service processes. |
| Zoho CRM with Zoho Creator | Lower cost and flexible agent portals | Zoho CRM handles applications and Zoho Creator can provide a partner portal. It suits smaller institutes and training providers, at lower cost than Dynamics 365. |
| Student information system alone | Few agents and mainly direct applications | If most students apply directly and agents are few, the SIS admissions module may be enough. Adding a CRM is only worth it when recruitment volume justifies it. |
What changes in the UAE
The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.
KHDA, ADEK and Ministry
Institutions report to KHDA in Dubai, ADEK in Abu Dhabi or the Ministry of Education, and higher education to the Ministry. Dataverse can hold the fields your team uses for those returns; we confirm requirements at scoping.
International student visas
Many UAE institutions sponsor student visas. Cases and reminders in Dynamics 365 track visa documents and expiry dates, so students are contacted before a lapse affects enrolment.
Student data protection
Student records are personal data under the PDPL (Federal Decree-Law 45 of 2021), with separate laws in DIFC and ADGM. Dataverse security roles and the Microsoft UAE data centre region help meet those needs.
What drives the cost, and what it connects to
No price list: we quote a fixed price in AED after discovery. These are the factors that move the effort up or down.
Agent network size
A few agents can be managed simply. Many agents across countries need portal accounts, contract terms, commission tiers and training materials, adding configuration and support.
Visa and document steps
Tracking visa sponsorship, document checks and deadlines per student adds stages, alerts and document handling to the pipeline. Deadlines differ by intake, so alerts need careful planning.
SIS integration
Passing enrolled students into the student information system depends on its API. Older systems may need file-based transfers, which take more testing.
Commission rules
Flat commissions are simple. Tiered rates, bonuses, clawbacks and multi-currency payments to overseas agents need finance design and careful testing. Agents in different countries may also need statements in their currency.
What it connects to
Enrolled applicants pass from Dynamics 365 Sales to the SIS, and enrolment status and withdrawals return to update commission eligibility.
Agents submit applications and documents, track status and view commission statements, with access limited to their own students.
Tuition payments confirm eligibility for commission, and approved agent commissions are paid as supplier invoices in the right currency.
Admissions staff see application history alongside emails from applicants and agents, keeping correspondence in one place.
Transcripts and certificates can be sent for verification, with results recorded against the application before an offer is confirmed.

When Dynamics 365 for education is the wrong answer
Dynamics 365 is not a student information system or LMS; keep those for academics. For a single school or small institute, licence costs per user can outweigh the benefit, and Odoo or Zoho Creator will cost less. See our Odoo for education Dubai page for a lighter option.
How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.
Checklist and common mistakes
Buyer's checklist
What to ask for before you choose a provider.
- Ask the provider to show an agent portal where agents submit applications, upload documents and see status without emailing staff.
- Confirm how agent commission will be calculated, approved and paid, including clawback if a student withdraws.
- Check how the CRM will pass enrolled students to your SIS without staff retyping details.
- Ask how student personal data and passport copies will be secured, and where the data will be stored.
- Require status tracking for student visa applications, with alerts when documents are missing or deadlines approach.
- Confirm the portal can be offered in English and Arabic, and ask about other languages your agents use.
Common mistakes
What we see go wrong in the UAE, and how to avoid it.
- Paying commission on offerPaying agents when an offer is made rewards volume, not quality. Pay on enrolment and fee payment, with clear clawback rules for early withdrawal.
- Accepting applications by emailEmail applications lose documents and create duplicates. Route agents and applicants through a portal with required fields and uploads. Portal submissions also give agents instant confirmation.
- No agent performance reportingWithout data, universities keep weak agents and under-reward strong ones. Report enrolment and retention by agent each intake. Share results with agents, so they know what quality means.
- Loose document securityPassport copies in shared inboxes are a data protection risk. Store documents in controlled locations with access by role. Delete copies once enrolment decisions are final and retention rules allow.
