Measure before automating
We time and count each step of the current process with the people doing it. That shows where work actually goes, and often reveals steps that should be removed rather than automated.
Procure-to-pay
From purchase request to supplier payment: AI reads quotes and invoices, the ERP handles three-way matching, and approvers see only exceptions. Supplier TRN and VAT checks are rule-based and visible to finance.
Order-to-cash
Customer orders arriving by email or WhatsApp are read into sales orders, credit checks run in the ERP, and invoices and statements go out on schedule. Collections reminders are drafted for a person to send.
Exception queues with reasons
Every case the process cannot finish lands in a queue with the reason: price mismatch, missing receipt, unknown customer. Staff fix exceptions rather than re-check every transaction, and recurring reasons show where master data or supplier behaviour needs attention.
Controls that auditors can follow
Segregation of duties, approval limits and logs are designed into the process. Auditors can trace any transaction from source document to posting, including what the AI extracted and who approved it.

What changes in the UAE
The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.
VAT and Corporate Tax records
Automated purchase and sales flows must keep tax invoices with TRNs, VAT at 5% and the records Corporate Tax returns rely on. We design processes so these records are complete by default.
E-invoicing changes the inputs
As UAE e-invoicing phases in from the July 2026 pilot, more invoices will arrive as structured PINT AE data. We design processes to accept both; check the Ministry of Finance for the latest dates.
Mainland and free zone entities
Groups with mainland and designated zone entities have different VAT treatment on goods movements. Processes carry the entity and zone through each step so tax treatment follows rules, not guesses.

When AI process automation is the wrong answer
Process automation is the wrong starting point if the process itself is disputed or changes every month, because you will automate confusion. It is also poor value for low-volume processes. We would suggest agreeing and stabilising the process on paper first, or simply configuring the ERP properly, before investing in AI.
How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.
