Robotic Process Automation in the UAE
Robotic process automation UAE companies adopt works best when bots handle only the repetitive screen work that cannot be done through an API. Shyphan assesses your processes, automates by API where possible, builds Power Automate desktop flows where a screen is the only way in, adds document AI for invoices and statements, and sets up governance so bots stay reliable.

What we use to deliver robotic process automation
Only what the first phase needs is switched on; more follows in later phases.
Robotic Process Automation in the UAE: what is included
Robotic process automation UAE companies adopt works best when bots handle only the repetitive screen work that cannot be done through an API.
Process discovery and ranking
We time and document candidate tasks, then rank them by volume, rule stability and error cost. Typically only a minority suit bots; the rest are better fixed by API integration, a form or simply removing the step.
API first, bots second
Where Zoho, Odoo, Dynamics 365 or your bank offers an API, we automate through it because it is faster and does not break when a screen changes. Bots are reserved for legacy desktop software and portals without integration options.
Desktop bots for legacy systems
Power Automate desktop flows operate older accounting packages, terminal screens and Excel macros, running attended on a user's PC or unattended on a dedicated machine, with screenshots and logs for every run.
Document AI before the bot
Supplier invoices, bank statements and delivery notes in English and Arabic are read with document AI, checked against rules and only then keyed by the bot. Low-confidence items go to a person for review.
A small automation CoE
Naming standards, credentials in a vault, change control, run monitoring and an owner for each bot. Without this, RPA estates in UAE companies grow into dozens of fragile scripts nobody can maintain.
Run reporting
Each bot's runs, exceptions and time saved are logged to a dashboard, so you can see which bots earn their licence cost and which should be retired or rebuilt as an integration.
Shared finance team automating supplier invoices
How robotic process automation in the UAE looks in practice. Illustrative; every project is scoped to the business.

Picture a UAE group shared services team in Abu Dhabi processing supplier invoices for several companies across the emirates. Invoices arrive as PDFs in English and Arabic, clerks key them into an older on-premise ERP with no usable API, and bank statements are downloaded manually from several banking portals each morning before reconciliation can start.
- Rank the team's tasks by volume, rules and exceptions, then choose invoice entry and statement downloads as the first two automations, with API options checked first.
- Read invoices with Azure AI Document Intelligence, validate TRN and VAT against supplier records, and let an unattended desktop flow key approved invoices into the ERP screens.
- Schedule a bot to download statements from each bank portal every morning into a controlled folder, logging each file and alerting finance if any download fails.

Which platform for robotic process automation in the UAE?
An honest comparison. We implement all of these, so the recommendation follows your processes, team and budget.
| Option | Best when | How it fits this need |
|---|---|---|
| Power Automate desktop and cloud flows | Microsoft 365 is standard and legacy screens need automating. | Combines desktop bots for old applications with cloud flows for email, approvals and Dataverse. Unattended bots need dedicated runners and licences, which should be counted early. |
| Python scripts with scheduling | Technical staff can maintain code and tasks involve files or data. | Flexible and low in licence cost for data handling, file processing and APIs. Less suited to screen automation and needs developers to maintain it over time. |
| ERP-native automation | Your ERP already offers OCR, import or workflow features. | Zoho, Odoo and Business Central include document capture, imports and workflows. Using them avoids a bot entirely, and should be ruled out before RPA is chosen. |
| Outsourced processing | Volumes are seasonal or the process is about to change. | A processing partner can absorb volume without automation investment. It moves effort rather than removing it, but can be sensible before a planned system replacement. |
What changes in the UAE
The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.
UAE bank and portal downloads
Many UAE teams download bank statements and reports from portals daily. Where banks offer host-to-host or API access we use it; otherwise attended bots can assist within each portal's terms of use, which we check first.
Arabic documents and screens
Bots and document AI are tested on Arabic invoices, right-to-left screens and Arabic customer names, which often break automations that were built and tested only in English.
PDPL and credential handling
Bots handling employee or customer data fall under the PDPL, or DIFC and ADGM rules for those entities. Credentials are stored in a vault, access is logged and personal data is not kept in bot logs.
What drives the cost, and what it connects to
No price list: we quote a fixed price in AED after discovery. These are the factors that move the effort up or down.
Number of processes
Each automated process needs discovery, design, build, testing and support. A small, well-chosen set delivers value faster than a long list of low-volume tasks automated at once.
Bot infrastructure
Unattended bots need dedicated virtual machines or hosted runners, monitoring and licences. Attended bots on existing desktops cost less but depend on staff presence.
Document variety
Many invoice layouts, languages and scan qualities require more document AI training and a stronger human review step before bots act on extracted data.
Governance and ownership
Setting up a small automation centre of excellence, with standards, change control and ownership, adds effort but prevents bots from becoming unmanaged risks.
What it connects to
Bots download statements and payment confirmations each morning into controlled folders for reconciliation in the ERP.
Desktop flows key validated invoices, journals or master data changes into screens where no API is available.
Arabic and English invoices are converted into structured fields with confidence scores for human review.
Bot queues, run history and exceptions are stored for reporting, audit and handover between bot and people.
Approval requests and exception alerts reach process owners, who approve or correct items before bots continue.
How we deliver robotic process automation
Phases, indicative timing and what is delivered in each. Scope is fixed and priced in AED before we start.
Discovery
Workshops with finance, HR and operations to list and time candidate tasks across your systems.
Automation plan
Each task is marked API, bot, document AI or not worth automating, with a fixed AED quote.
Pilot bots
Two or three high-volume processes are automated and run in parallel with the manual process.
Governance setup
Credential vault, monitoring, change control and a runbook for every bot are put in place.
Scale and support
Further processes are added in batches, with monitoring, reporting and fixes whenever target applications change.
When robotic process automation is the wrong answer
RPA is brittle: a changed screen, a new pop-up or a slower network can stop a bot. If the target system has an API, or if you are replacing that system within a year, a bot is the wrong investment. We would recommend an integration, a Zoho Creator or Power Apps form, or waiting for the new system instead.
How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.
Checklist and common mistakes
Buyer's checklist
What to ask for before you choose a provider.
- Ask for a process ranking method that scores volume, rule clarity, exceptions and API availability for each candidate task.
- Confirm how the provider decides between API integration and a bot, and ask for that decision in writing.
- Check how credentials and personal data handled by bots are stored and logged to meet PDPL and audit expectations.
- Ask how Arabic documents and Arabic screens will be tested, with samples from your own suppliers and systems.
- Require a run report per bot showing items processed, exceptions and failures, available to process owners.
- Agree who in your organisation owns each bot, approves changes and decides when a bot should be retired.
Common mistakes
What we see go wrong in the UAE, and how to avoid it.
- RPA where an API existsUAE teams sometimes build bots on systems that offer APIs or imports. Check integration options first, because bots are harder to maintain than proper interfaces.
- No human review for documentsLetting bots post extracted invoice data without review risks VAT and payment errors. Keep a review step for low-confidence fields and new suppliers.
- Unmanaged bot credentialsBot passwords stored in scripts or shared files are a security risk. Store them in a vault and rotate them with named ownership.
- Too many bots, no ownerOrganisations that build many bots without ownership end up with fragile automations nobody maintains. Limit the portfolio and assign every bot a business owner.
