The problems

The six problems we hear from business owners

No single view of the business

Sales are in one system, cash in the bank portal, stock in a spreadsheet and HR in email, so the real picture arrives once a month, if the accountant has time.

Everything goes through you

Approvals, discounts, payments and exceptions all come to the owner on WhatsApp, which does not scale beyond a few dozen staff.

Software bought piece by piece

Each department picked its own tool, the monthly bill keeps growing and nothing connects.

Compliance you cannot delegate blindly

VAT, Corporate Tax, WPS and soon e-invoicing are the owner's liability even when a consultant does the work.

Afraid of a failed project

Everyone knows someone whose ERP project ran over budget and never went live.

Growth into new entities

A second branch, a free zone company or an expansion into Saudi Arabia means the setup has to scale without starting again.

UAE rules

UAE rules every option must handle for a business owner

Whatever you choose, these have to work before go-live. Rules change, so confirm the current position with your adviser.

VAT and Corporate Tax are the owner's liability

The FTA holds the taxable person responsible for VAT returns and Corporate Tax filings, whoever prepares them, so the system has to produce numbers you can defend.

E-invoicing is coming for every VAT-registered business

Businesses with revenue under AED 50 million are scheduled to go live with e-invoicing from 1 July 2027 under the current Ministry of Finance timeline, so software chosen today must be ready for it.

Mainland, free zone and group structures

Many owners run a mainland trading company and a free zone entity side by side. Each is a separate legal and tax entity, and the software should reflect that from the start.

Payroll through WPS

Mainland employers pay salaries through the Wages Protection System, and late or incorrect payments can lead to penalties and work permit restrictions.

Job by job

How each platform handles the business owner's jobs

The same six jobs, answered for each platform. This is the table we walk through in discovery calls.

One platform instead of ten toolsZoho One gives CRM, Books, Inventory, People, Payroll, Desk and 40-plus apps on a single licence per employee, so the stack stops growing tool by tool.Odoo puts CRM, Sales, Inventory, Accounting, HR and more in one database, so every department works from the same data.Business Central, Dynamics 365 Sales and Microsoft 365 share identity and data through Dataverse and Power Platform.

Where AI adds to any of the three

JobWhat AI does
One dashboard on your phoneA daily briefing on WhatsApp or email that summarises yesterday's sales, cash, overdue invoices and anything unusual, and answers follow-up questions.
Approvals without chasingAn approvals assistant that summarises each request, checks it against budget and policy and only escalates what genuinely needs you.
One platform instead of ten toolsAI works across whichever platform you choose, reading from each system rather than adding another silo.
Compliance you can seeA compliance agent that tracks deadlines for VAT, Corporate Tax, trade licence and visa renewals and reminds the right person.
Room to grow into new entitiesAgents built once can be extended to new entities and languages without starting again.
A project that actually goes liveA narrow pilot on one workflow with a measured result before any wider rollout.

Where a custom mobile app adds to any of the three

JobWhat the app does
One dashboard on your phoneFounders get an admin view inside their own product app showing users, orders and revenue in real time.
Approvals without chasingIn-app approvals for the few decisions that must reach the owner, with everything else delegated by rule.
One platform instead of ten toolsA custom app is built to connect to your ERP and CRM from day one, not to become another island.
Compliance you can seeProduct apps are built with PDPL-aligned consent, data handling and payment rules from the first release.
Room to grow into new entitiesApps are built bilingual and multi-country from the start, so a Saudi launch is configuration, not a rebuild.
A project that actually goes liveDiscovery and a clickable prototype first, then an MVP in phases, so you can stop after the first release.

FAQ

Best Software for Business Owners & Founders in the UAE: questions we get asked

What software does a new UAE company need first?
Accounting with UAE VAT from day one, a CRM once you have more than a handful of leads a week, and payroll with WPS once you hire. Most owners start with Zoho Books and CRM or with Odoo Accounting and Sales.
Zoho, Odoo or Dynamics 365 for a UAE SME?
Zoho for the lowest cost per employee and broadest suite, Odoo when operations and stock lead, Dynamics 365 when you are already on Microsoft. We implement all three, so we can recommend by fit.
How much should an SME budget for an ERP in the UAE?
Licences plus a fixed implementation fee that depends on apps, data and integrations. Ask for a phased quote, so the first phase delivers value before you commit to the rest.
How do I avoid a failed ERP project?
Keep the first phase small, name an internal owner, clean data before migration, train properly and do not customise standard processes until people have used the system for a month.
Can one system handle my UAE and Saudi companies?
Yes. Zoho, Odoo and Business Central all support separate entities with their own localisation, including ZATCA e-invoicing in Saudi Arabia.
Should I build a custom app or buy software?
Buy for standard processes such as accounting, CRM and HR. Build when the app is your product or gives a clear advantage no platform offers.
Which platform does Shyphan recommend?
The one that fits. We are a Zoho Premium Partner, an Official Odoo Partner and an independent Dynamics 365 consultancy, and we build AI and custom apps, so the recommendation after a free discovery call is written against your size, budget and existing tools.
Do you work with management teams outside Dubai?
Yes. We work with companies in Abu Dhabi, Sharjah, Ajman, Ras Al Khaimah, Fujairah, Umm Al Quwain and Al Ain, from our Ras Al Khaimah office with remote delivery and on-site workshops where needed.
