What we use to deliver franchise management ERP

Tools and platforms we typically use, and the systems it connects to. The final choice is made against your systems, budget and team.

What we deliver

Franchise Management ERP in the UAE: what is included

Franchise management ERP in the UAE handles the money and operations between franchisor and franchisees: collecting sales data from each outlet, calculating royalties and marketing fund contributions, supplying outlets from a central kitchen or warehouse, running audits and tracking agreement terms.

01

Sales feed from each outlet

Franchisee POS sales flow in daily through integration or upload, by outlet and product. Royalties are calculated on actual sales data rather than monthly self-reported totals, and anomalies stand out quickly.

02

Royalty and fee billing

Royalties, marketing fund contributions, technology fees and minimums are calculated per agreement and invoiced automatically with VAT. Tiered rates and minimum guarantees are applied without manual spreadsheets. Statements go to each franchisee monthly.

03

Central supply to outlets

Outlets order from the central kitchen, warehouse or approved suppliers through a portal. The franchisor controls products, prices and minimum orders, and supply margins are tracked by franchisee. Outlets see delivery status online.

04

Audits and brand standards

Area managers run audits on tablets with scored checklists and photos. Findings create corrective actions with deadlines, and scores trend by outlet so repeated failures are visible. Audit reports are shared with the franchisee.

05

Agreement terms and renewals

Each franchise agreement records territory, term, fees, renewal options and obligations. Renewal and expiry dates trigger reminders, and fee changes on renewal apply automatically to billing. Territory overlaps are checked before signing new outlets.

06

Network performance

Sales per outlet, like-for-like growth, royalty collections and audit scores are compared across the network. The franchisor sees which outlets need support and which franchisees are ready for another site.

UAE specifics

What changes in the UAE

The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.

VAT on royalties and fees

Royalties and fees charged to UAE franchisees are generally standard-rated at 5%. Where a UAE master franchisee pays royalties to an overseas brand owner, the reverse charge usually applies. Your adviser confirms your structure.

Master franchises across the GCC

Many brands enter the UAE through a master franchisee who also develops other GCC markets. Multi-currency billing and entity separation let one system serve UAE outlets and regional sub-franchisees.

Mall and destination outlets

UAE franchise outlets often sit in malls with turnover-based rent. Capturing sales per outlet accurately supports both royalty billing and rent calculations, from the same data.

How it works

How we deliver franchise management ERP

Phases, indicative timing and what is delivered in each. Scope is fixed and priced in AED before we start.

1Weeks 1-2

Franchise model review

We review agreements, fee structures, outlet systems and how royalties and supply are handled today.

2Weeks 2-4

Fee rules and feeds

Royalty rules, fund contributions and POS data feeds are designed for each agreement and outlet type.

3Weeks 4-8

Build and connect

Billing, supply portal, audit checklists and dashboards are configured and connected to outlet sales data.

4Weeks 8-10

Pilot outlets

A few outlets run a full month of sales feed, royalty billing and ordering through the system.

5Weeks 10-12

Network rollout

All outlets join, and monthly royalty runs and network reports become routine for the franchisor team.

When franchise management ERP is the wrong answer

If you own all your outlets rather than franchising them, this is branch management, not franchise management; royalty billing adds nothing. And if you run a single franchised outlet as a franchisee, your franchisor's systems usually apply, so a standard accounting package with POS is the right choice.

How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.

FAQ

Franchise Management ERP in the UAE: questions we get asked

What is franchise management ERP?
It is ERP built around the franchisor and franchisee relationship: importing outlet sales, calculating royalties and fund contributions, invoicing them, supplying outlets centrally, auditing brand standards and tracking agreement terms. It replaces self-reported spreadsheets with system data.
How does franchise management ERP in the UAE calculate royalties?
Each agreement's rules, such as percentage of net sales, tiered rates, minimum monthly fees and marketing fund contributions, are stored in the system. Daily sales from each outlet's POS feed the calculation, and invoices with VAT are generated automatically each period.
Is VAT charged on franchise royalties?
Royalties charged to UAE franchisees are generally subject to 5% VAT. Royalties paid by a UAE master franchisee to an overseas brand owner usually fall under the reverse charge. Your tax adviser confirms the treatment for your contracts.
Can franchisees order stock through the system?
Yes. Franchisees order from the central kitchen, warehouse or approved suppliers through a portal, with prices and product lists controlled by the franchisor. Orders, deliveries and invoices are tracked per franchisee. Supply margins are reported separately.
What if franchisees use different POS systems?
We integrate with common POS systems through APIs, or set up a daily structured upload where integration is not possible. Standardising on one POS across the network, such as Odoo Point of Sale, simplifies things considerably.
How much does a franchise management ERP cost?
It depends on the number of outlets, agreement types and POS integrations. We give a fixed quote in AED after a free discovery call, and usually start with royalty billing before adding supply and audits.
Why choose Shyphan?
We are a Zoho Premium Partner, an Official Odoo Partner and an independent Dynamics 365 consultancy that also builds AI and custom software, so we recommend by fit rather than by what we resell. Delivery runs from our Ras Al Khaimah office with remote delivery across all seven emirates.
