One search across stores
SharePoint sites, Zoho WorkDrive folders, network drives, Odoo Documents and selected email archives are indexed together. Users search once instead of checking five places and asking a colleague. Each result shows where it came from.
Answers with sources
For questions such as 'What is our notice period for suppliers?', the assistant answers and links the exact document and section. If no source supports an answer, it says nothing was found.
Permission-aware results
Indexing keeps each document's access list from SharePoint, WorkDrive or the file system. Search and answers only use documents the signed-in user can already open, checked at query time. Permission changes flow through on the next sync.
Arabic and English search
Documents and queries in Arabic, English or both are indexed and searched across languages. An English question can find an Arabic policy, and the answer states which language the source is in.
Freshness and version control
Indexes update on a schedule or when documents change, and superseded versions are down-ranked. Staff see the document date, so they know whether a policy is current. Archived folders can be excluded or labelled clearly as historical.
Search analytics
Logs show the most common questions and those with no good answer. That tells you which policies are missing, unclear or hard to find, which is useful well beyond the search tool itself.

Data regime per entity
Document stores in a group may belong to entities under the PDPL, DIFC or ADGM laws. Scope, retention and access are set per entity, and sensitive folders can be excluded entirely.
Indexes in a UAE region
Search indexes contain copies of your content. We host them in a UAE region where the provider offers one, inside your own cloud tenancy, with encryption at rest.
Bilingual contracts and policies
UAE contracts and policies often exist in Arabic and English versions. Search can show both, and flags where the versions appear to differ so legal can check.

When AI enterprise search is the wrong answer
If your documents sit mostly in one well-organised SharePoint and you already license Microsoft 365 Copilot, its built-in search may be enough. Custom enterprise search is also a poor idea while permissions are messy, because it will surface what people were never meant to see. We would fix permissions first.
How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.
