The stack

What we use to deliver Zoho implementation cost

Only what the first phase needs is switched on; more follows in later phases.

What we deliver

Zoho Implementation Cost in the UAE: what is included

Zoho implementation cost in the UAE depends on which apps you roll out, how many processes you automate, how much data you migrate and how many integrations you need.

01

Number of apps in scope

A CRM-only rollout is a different job from Zoho One across sales, finance, HR and support. Each app adds configuration, testing and training. Many clients phase it: CRM and Books first, People and Desk later, which spreads cost.

02

Process complexity

Simple pipelines cost little to set up. Multi-stage approvals, Blueprint processes, territory rules, custom modules and Deluge functions add effort. Discovery separates what is essential on day one from what can wait.

03

Data migration volume

Moving contacts, open deals, items, opening balances and a few years of invoices from Tally, QuickBooks, Excel or another CRM is often the largest single variable. Clean source data costs less to migrate than duplicated or partial data.

04

Integrations

Connecting Zoho to an e-commerce store, bank feeds, WhatsApp, a legacy ERP or an accredited e-invoicing provider adds build and testing effort. Standard Zoho Marketplace extensions cost less than custom API work.

05

Arabic and UAE setup

UAE VAT 201 configuration in Zoho Books, bilingual tax invoice templates, Arabic RTL portals and WPS files in Zoho Payroll are part of a UAE rollout. Arabic templates and approvals add a small, predictable amount of work.

06

Training and support

Admin training, user sessions per team, bilingual guides and a hypercare period after go-live are priced in the quote. Ongoing support after hypercare is optional and quoted separately as a monthly plan.

A worked example

A contractor comparing two very different quotes

How Zoho implementation cost in the UAE looks in practice. Illustrative; every project is scoped to the business.

Picture an Abu Dhabi fit-out contractor that received two quotes for Zoho CRM, Books and Projects, one several times the other. The finance director cannot tell whether the cheaper quote leaves out data migration, whether the expensive one includes features they do not need, or what the licences will add on top each year.

  1. Run a discovery session that lists every process, report and integration the contractor actually needs, marking each as essential at go-live or safe to add later.
  2. Split the scope into phases with a fixed AED quote for phase one, and a written list of what is excluded so quotes can be compared line by line.
  3. Separate the Zoho licence estimate by app, edition and user count from services, and show which users could work on cheaper editions or light licences.
What changes: The finance director compares like with like, sees which gaps made one quote cheaper, and approves a first phase that fits the budget with a clear view of later costs.

Options compared

Which platform for Zoho implementation cost in the UAE?

An honest comparison. We implement all of these, so the recommendation follows your processes, team and budget.

OptionBest whenHow it fits this need
Fixed-price Zoho partner projectScope can be defined after a proper discoveryGives budget certainty and a clear deliverable list. Works when you invest time in discovery; changes after sign-off go through change requests, so vague scopes lead to disputes.
Self-setup with Zoho onboardingOne or two apps with standard processesSmall teams using Books or CRM out of the box can often set up themselves with Zoho's onboarding help. Costs rise later if integrations or automation are needed.
Odoo implementationManufacturing, complex stock or self-hosting is requiredOdoo can suit production-heavy or self-hosted needs better. Implementation effort is often higher than Zoho for the same scope because of module configuration and hosting.
Dynamics 365 Business CentralMicrosoft-standardised group with complex multi-entity financeSuits larger groups needing deep finance and Microsoft integration. Typically higher licence and services cost, and UAE localisation comes through partner apps.
UAE specifics

What changes in the UAE

The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.

Licences are billed by Zoho

Zoho subscriptions are charged per user or per organisation, monthly or annually, by Zoho directly. We help you pick the right edition so you do not pay for Enterprise features you will not use in the first year.

VAT on services

Our implementation invoice carries UAE VAT at 5% where applicable. Budget for the net fee plus VAT, and for Zoho licences in the currency Zoho bills you in.

E-invoicing timing matters

With UAE e-invoicing phases from 2026 and 2027, starting a Zoho Books project now can include the ASP connection in scope rather than as a later change. Check the Ministry of Finance for the latest dates.

Cost and integrations

What drives the cost, and what it connects to

No price list: we quote a fixed price in AED after discovery. These are the factors that move the effort up or down.

State of your current data

Clean, consistent customer, item and opening balance data migrates quickly. Duplicates, missing codes and years of unreconciled history can make migration the largest cost line.

Number of teams involved

Each department brings its own workshops, sign-offs and training. A project involving sales, finance, HR and operations costs more to coordinate than one team.

Entities and branches

Several legal entities, VAT registrations or branches mean separate organisations or settings, intercompany rules and consolidated reporting, all adding configuration and testing.

Change management effort

Teams moving from paper or spreadsheets need more training, champions and hand-holding than teams switching from another system, and that effort must be budgeted.

What it connects to

Existing accounting system

Opening balances, customers, suppliers and open invoices flow out once at migration; the depth of history migrated affects cost.

UAE bank feeds

Bank transactions flow into Zoho Books; supported feeds are quick, while statement-import workarounds for other banks add effort.

WhatsApp Business Platform

Adding approved templates and number migration for CRM or Desk messaging is a separate line item worth checking in quotes.

E-invoicing Accredited Service Provider

Invoices will flow from Zoho Books to an ASP under the UAE e-invoicing rollout; check the Ministry of Finance for dates.

Microsoft 365

Email, calendar and sign-in links with Zoho apps are usually small tasks, but should still appear in scope.

How it works

How we deliver Zoho implementation cost

Phases, indicative timing and what is delivered in each. Scope is fixed and priced in AED before we start.

1Week 0

Free discovery call

We learn your processes, users, current systems and deadlines, and say which Zoho apps fit and which do not.

2Week 1

Written scope and quote

You receive a scope listing apps, processes, migrations, integrations and training, with a fixed AED price and timeline.

3Weeks 2-8

Build and migrate

Typical CRM or Books projects take four to eight weeks; Zoho One across several departments usually runs longer.

4Final 2 weeks

Test and train

Your team tests with real scenarios, we fix issues, then run role-based training in English or Arabic.

5After launch

Go-live and hypercare

We support the first weeks closely, then you choose whether to add a monthly support plan.

When Zoho implementation cost is the wrong answer

A fixed quote only works when scope is clear. If your processes are still being designed or requirements change weekly, we would suggest a short paid discovery or a phased quote. If you need only one app with standard settings, Zoho's own onboarding may be enough and cheaper than a partner.

How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.

Before you buy

Checklist and common mistakes

Buyer's checklist

What to ask for before you choose a provider.

  • Ask each provider for a written list of what is included and excluded, especially data migration, integrations and training.
  • Require licence estimates shown separately from services, with the Zoho edition and user count assumed for each app.
  • Ask how change requests are priced after sign-off and what counts as a change versus a defect.
  • Check whether post go-live support is included, for how long, and what it covers.
  • Confirm who does data cleansing: the provider, your team or a shared effort with clear responsibilities.
  • Ask whether VAT is included in the quote and how payments are staged against delivered milestones.

Common mistakes

What we see go wrong in the UAE, and how to avoid it.

  • Choosing on headline price aloneThe cheapest quote often excludes migration, training or integrations that appear later as extras. Compare scope lists line by line before comparing totals.
  • Forgetting licences grow with usersBudgets often cover year one licences only. Model licence cost as headcount and apps grow, and check annual versus monthly billing terms.
  • Skipping discovery to save moneyFixed quotes without discovery either pad for risk or miss requirements. A short paid or free discovery usually saves more than it costs.
  • No budget for after go-liveNew requests always appear once teams use the system. Keep a small allowance for adjustments and admin support in the first months.

FAQ

Zoho Implementation Cost in the UAE: questions we get asked

What is the typical Zoho implementation cost in the UAE?
We do not publish price ranges because scope varies too much. The cost is driven by the apps, processes, data migration, integrations, Arabic needs and training. After a free discovery call we give a fixed quote in AED, so you know the full services cost up front.
Are Zoho licences included in the implementation price?
No. Zoho bills subscriptions directly, per user or organisation, monthly or annually. Our quote covers services only: configuration, migration, integration, training and hypercare. We help you choose editions that match the scope. That keeps licence and services costs separate on your books.
Why does Zoho One cost more to implement than Zoho CRM?
Zoho One is a licence bundle, not a single app. Rolling out CRM, Books, People, Desk and others means more configuration, integration between apps and training for several departments. Many businesses phase it to spread cost.
How long does a Zoho implementation take?
A focused CRM or Books rollout typically takes four to eight weeks. Multi-department Zoho One projects or custom Creator apps take longer. The written scope includes a timeline agreed with you. Delays usually come from late data or decisions, so we name owners for each.
Does data migration add much to the cost?
It can. Moving clean, recent data is quick; migrating years of duplicated records from several sources takes longer. We sample your data during discovery and quote migration as a separate line so you can decide what to bring over.
Is there an ongoing cost after go-live?
Zoho licences continue. Our support after the hypercare period is optional and quoted as a monthly plan based on users, apps and expected changes. Some clients manage in-house after training. Your admins then handle small changes such as fields, views and reports themselves.
Why do Zoho implementation quotes in the UAE vary so much?
Mostly because they cover different scope. One quote may include data migration, integrations, Arabic templates and training while another covers only basic setup. Ask every provider for an included and excluded list, the assumed licence editions and the post go-live support terms, then compare those rather than the totals.
Can we reduce Zoho implementation cost by doing part of the work ourselves?
Yes. Your team can clean and prepare data, write help articles, build simple reports and deliver internal training after we train a champion. We agree in writing which tasks you own, so the quote reflects the split and nothing falls between both sides.
Does it cost more to implement Zoho for a free zone and a mainland company together?
Usually somewhat more, because each licence normally has its own Books organisation, VAT settings, templates and reporting. Shared parts such as CRM or HR can be set up once. The extra effort depends on how much the two companies trade with each other and share staff.
Why choose Shyphan?
We are a Zoho Premium Partner, an Official Odoo Partner and an independent Dynamics 365 consultancy that also builds AI and custom software, so we recommend by fit rather than by what we resell. Delivery runs from our Ras Al Khaimah office with remote delivery across all seven emirates.
