What we use to deliver hospitality automation
Tools and platforms we typically use, and the systems it connects to. The final choice is made against your systems, budget and team.
Hospitality Automation in the UAE: what is included
Hospitality automation in the UAE removes repetitive manual work for hotels, serviced apartments, restaurants and leisure operators: guest messages, housekeeping and maintenance tasks, purchase approvals, supplier invoices and daily reports.
Guest messages before and after the stay
Pre-arrival details, directions, check-in times and post-stay feedback requests go out automatically on WhatsApp and email with approved templates and opt-in. Replies that need a human are routed to the right desk.
Arabic and English guest assistant
An AI assistant answers common questions about facilities, timings and bookings in Arabic and English from your own approved content, and hands over to staff when a question is outside its scope or a guest asks for a person.
Housekeeping task triggers
Check-outs from the property system create cleaning tasks, room status updates when housekeeping finishes, and inspection failures reopen the task. Supervisors see progress without radio calls.
Maintenance tickets from any source
A guest complaint, a housekeeping note or a staff photo becomes a maintenance ticket with priority and location. Engineering sees one queue, and the guest-facing team sees when it is fixed.
Supplier invoice capture
Document AI reads supplier invoices, matches them to purchase orders and receipts, and queues exceptions for review. Finance handles differences instead of typing every line.
Daily reports without spreadsheets
Occupancy, revenue, F&B covers and open issues are pulled from each system into a morning report or dashboard, so managers stop building the same spreadsheet every day.
A Ras Al Khaimah beach resort's back office
How hospitality automation in the UAE looks in practice. Illustrative; every project is scoped to the business.

For example, a beach resort in Ras Al Khaimah with several restaurants and a spa receives supplier invoices as paper and PDFs, approves purchases by signature on printed forms, and builds its daily manager report by copying figures from the PMS, POS and spreadsheets each morning before the operations meeting.
- Set up document AI to read supplier invoices from a shared mailbox, extract supplier, TRN, lines and VAT, and route each one to the right department head.
- Build purchase approval flows in Power Automate with limits by department and value, so chefs and engineers approve on their phones instead of chasing signatures.
- Automate the daily manager report by pulling occupancy from the PMS and covers and revenue from the POS into one emailed summary before the morning meeting.

Which platform for hospitality automation in the UAE?
An honest comparison. We implement all of these, so the recommendation follows your processes, team and budget.
| Option | Best when | How it fits this need |
|---|---|---|
| Power Automate + AI Builder | The resort runs Microsoft 365 and wants back-office automation | The natural fit for properties on Microsoft 365: approvals in Teams and Outlook, invoice capture and scheduled reports. Licensing for premium connectors and AI capacity should be checked per flow. |
| Zoho Flow + Zoho Creator | You use Zoho apps or need small custom forms for staff | Suits hotels already on Zoho Books or Desk, or that need simple mobile forms for housekeeping and engineering. Flow connects many cloud apps but has fewer hotel-specific connectors. |
| Odoo automation rules | Purchasing, stock and accounts already run in Odoo | If your back office is on Odoo, automating inside it avoids extra tools and keeps approvals, stock and accounts in one audit trail. It is weaker for automating third-party guest channels. |
| Leave it manual | Low volumes and a tight team who all sit together | A small guesthouse or single restaurant with few invoices and one manager may gain little. Automation pays back where volumes, departments and handoffs create delays and errors every day. |
What changes in the UAE
The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.
WhatsApp is the guest channel
UAE guests and residents expect WhatsApp. Automations use the WhatsApp Business Platform with approved templates and opt-in, not personal phones, so messages are logged and compliant.
Guest data under the PDPL
Guest personal data falls under Federal Decree-Law 45 of 2021, with DIFC and ADGM rules where relevant. We limit data in each flow and keep AI assistants on approved content.
Arabic and English by default
Guest messages, assistant replies and staff notifications are built in Arabic and English, with right-to-left layouts where Arabic appears.
What drives the cost, and what it connects to
No price list: we quote a fixed price in AED after discovery. These are the factors that move the effort up or down.
Number of workflows
Each automated process needs design, build, testing and handover. Starting with the three or four most painful flows keeps the first phase focused; a long wish list increases effort quickly.
Systems to connect
Modern cloud PMS, POS and accounting tools with APIs are quicker to connect. On-premise or older systems may need exports, gateways or middleware, which adds build and maintenance effort.
AI assistant scope
An assistant answering common guest questions in Arabic and English is a contained build. One that checks bookings, takes requests and hands off to staff needs more integration and testing.
Invoice variety
Supplier invoices in consistent layouts are easy to extract. Many small suppliers with handwritten or mixed Arabic and English layouts need more training data and human review steps.
What it connects to
Arrivals, departures and occupancy flow out to trigger housekeeping tasks, guest messages and the daily management report.
Daily covers and outlet revenue flow into the management report, and item sales support stock and purchasing decisions.
Guest questions come in to the AI assistant, and approved template messages go out before arrival and after checkout.
Captured supplier invoices, approved and coded, post as bills with VAT; payment status flows back to department heads.
Approval requests, failed flow alerts and escalated guest issues arrive in the right team channel for quick action.
How we deliver hospitality automation
Phases, indicative timing and what is delivered in each. Scope is fixed and priced in AED before we start.
Workflow audit
We list repetitive tasks by department and estimate hours spent, then pick the first automations.
Systems check
We confirm which systems have APIs, including the PMS, POS and accounting.
Build first wave
Three to five automations are built, tested and handed to the team.
Measure and adjust
We review what is used, what staff bypass and what needs changing.
Next waves
Further automations are added in small, separately quoted waves.
When hospitality automation is the wrong answer
Automation cannot fix a process nobody agrees on. If check-out, cleaning or purchasing works differently on each shift, automating it spreads the confusion. We would standardise the process first. If your property system has no API, some automations are not possible without changing it.
How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.
Checklist and common mistakes
Buyer's checklist
What to ask for before you choose a provider.
- Ask which tasks will be automated first and how the provider measured the manual time they currently take in your property.
- Require invoice capture to read UAE tax invoice details, including supplier TRN and VAT, and send exceptions for human review.
- Check that approval limits by department and value mirror your delegation of authority, including cover when managers are on leave.
- Confirm the AI guest assistant hands over to a person for complaints, payments and anything it cannot answer confidently.
- Ask who monitors automation failures, how you are notified, and what the monthly support arrangement covers.
- Require documentation of every flow, its owner and its connected accounts so the automation survives staff changes.
Common mistakes
What we see go wrong in the UAE, and how to avoid it.
- Automating a broken processAutomating an approval path nobody agrees on just speeds up confusion. Agree the process and delegation of authority with department heads first, then build the flow.
- AI answers without human handoverA guest assistant that keeps answering when a guest is upset damages reviews. Set clear triggers that pass complaints, refunds and unclear questions to a staff member immediately.
- Flows tied to one personFlows built under a single employee's account stop when that person leaves. Use service accounts, document each flow and give operations a named owner.
- Ignoring Arabic supplier documentsTesting invoice capture only on English invoices leaves Arabic layouts failing after go-live. Include real Arabic and bilingual invoices from local suppliers in the test set.
