What we use to deliver project ERP development

Tools and platforms we typically use, and the systems it connects to. The final choice is made against your systems, budget and team.

What we deliver

Project ERP Development in the UAE: what is included

Project ERP development in the UAE builds an ERP around projects rather than products: budgets per project and phase, timesheets, purchases charged to jobs, milestone and progress billing, resource planning and project profitability.

01

Budgets by project and phase

Each project has a budget split by phase and cost type, such as labour, subcontract, materials and expenses. Commitments and actuals are compared with the budget as they happen, not at the end of the job.

02

Timesheets that feed cost and billing

Staff log hours against project tasks from browser or phone. Hours are costed at internal rates for profitability and billed at client rates on time-and-materials projects, with manager approval before billing.

03

Milestone and progress billing

Fixed-fee projects invoice on milestones or percentage complete, retention can be held and released, and each invoice links back to the contract value so billed-to-date and remaining amounts are always clear.

04

Resource planning

A planning board shows who is booked on which project and when, highlights over-allocation and lets managers see capacity for new work before committing to a client deadline. Leave from the HR module is shown on the board.

05

Project purchases and expenses

Purchases and employee expenses are charged to projects at the point of request, so a project manager sees subcontract and material commitments immediately rather than after the supplier invoice arrives.

06

Live project profitability

Revenue, cost, margin and work in progress are reported per project, client and manager. Loss-making projects show up while there is still time to act, instead of at year-end. Project managers get a weekly summary of their own portfolio.

UAE specifics

What changes in the UAE

The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.

VAT on milestone invoices

VAT is due on each tax invoice or payment, whichever comes first. Milestone and advance billing in the ERP applies 5% VAT correctly to advances and later deductions.

Retention held by clients

UAE clients often hold retention on project invoices. The ERP tracks retention receivable per project and reminds the finance team when release dates arrive, so the money is claimed on time.

Projects across the GCC

UAE firms often run projects in other GCC countries. Projects can carry their own currency and entity, with profitability still reported in AED at group level.

How it works

How we deliver project ERP development

Phases, indicative timing and what is delivered in each. Scope is fixed and priced in AED before we start.

1Weeks 1-2

Project model review

We review how projects are quoted, staffed, tracked and billed today and which reports managers rely on.

2Weeks 2-3

Design

Project structure, budget categories, billing methods, approval rules and the integration with finance are agreed and documented.

3Weeks 3-9

Build

Configuration and custom features built in sprints, tested on a few live projects with real timesheets and costs.

4Weeks 8-10

Migrate active projects

Open projects are loaded with budgets, billed-to-date, costs-to-date and retention balances, then reviewed by each project manager.

5Week 10 onward

Go-live

Rollout to project managers and staff, timesheet discipline training and support through the first billing cycle.

When project ERP development is the wrong answer

If your business runs a few projects at a time with simple fixed fees, project ERP development is not needed. Zoho Projects with Zoho Books, or standard Odoo Project and Timesheets, will cover it. For large construction contracts with BOQs and IPCs, a construction ERP is a better starting point than a general project ERP.

How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.

FAQ

Project ERP Development in the UAE: questions we get asked

What does project ERP development include?
Project and phase budgets, timesheets, project purchasing and expenses, milestone, progress and time-and-materials billing, retention, resource planning and project profitability. It connects to accounting so work in progress and revenue are reported correctly, and project managers see margin during the project rather than after it closes.
Which platform suits project ERP development in the UAE?
Odoo suits firms that also need purchasing and stock; Zoho Projects with Zoho Books suits service firms that want simple subscriptions; Business Central Jobs suits Microsoft-based firms. We recommend after reviewing your billing methods, project volume and the systems you already use.
How is a project ERP different from a construction ERP?
A project ERP suits consultancies, agencies and fit-out firms billing by milestone or time. A construction ERP adds BOQs, subcontractor management, interim payment certificates and variations for contractors. The data model and approvals differ significantly.
Can staff enter timesheets on their phones?
Yes. Staff can log time from the Odoo or Zoho mobile apps or a simple custom screen, with reminders for missing timesheets and manager approval before hours are billed. Time can be logged offline and synced later.
Can the system handle retention and advance payments?
Yes. Advance payments are invoiced and deducted from later milestones, and retention is held and released per project, with VAT applied correctly on each invoice. Reports show advances outstanding and retention due per client, so finance can chase releases on time.
How much does project ERP development cost?
We give a fixed quote in AED after a free discovery call, based on project volume, billing methods, custom reports, integrations and how many active projects need migrating. Assumptions are written into the quote so you can see what each part adds.
Why choose Shyphan?
We are a Zoho Premium Partner, an Official Odoo Partner and an independent Dynamics 365 consultancy that also builds AI and custom software, so we recommend by fit rather than by what we resell. Delivery runs from our Ras Al Khaimah office with remote delivery across all seven emirates.
