Attendance Software in the UAE: who it is for
UAE companies with shift workers, site staff or several locations, such as contractors, retailers, clinics, warehouses and FM companies, where attendance still arrives on paper or as device exports. Attendance software captures clock-in and clock-out events, matches them to rosters, flags lateness, absence and overtime, and sends approved hours to payroll.
- Biometric device integration
- Geofenced mobile check-in
- Rosters and shift patterns
- Overtime with approval
What we use to deliver attendance software
Tools and platforms we typically use, and the systems it connects to. The final choice is made against your systems, budget and team.
Attendance Software in the UAE: what is included
Attendance Software in the UAE records when staff start and finish work, compares it with their shift and turns approved hours into payroll inputs.
Biometric device integration
Punches from fingerprint or face recognition terminals are pulled into the attendance system automatically, through the device's cloud service or a small agent on site. HR stops exporting files from each device and merging them in Excel.
Geofenced mobile check-in
Field staff, drivers and site teams check in on their phone within a geofence around the site, with a selfie where your policy allows. Check-ins outside the fence are flagged for the supervisor rather than silently accepted.
Rosters and shift patterns
Fixed, rotating and split shifts are planned in rosters per location. Attendance is compared with the roster, so lateness, early leaving and missed shifts are measured against the actual plan, not a generic nine-to-five day.
Overtime with approval
Hours beyond the shift are calculated as potential overtime but paid only after a manager approves them. Night and rest-day hours are identified separately, so payroll can apply the rates set out in your policy.
Exceptions, not raw punches
Supervisors get a daily list of exceptions: missing punches, absences without leave and late arrivals. They correct or explain them, and HR sees only what is still unresolved at month-end.
Clean inputs to payroll
Approved worked days, overtime and unpaid absence flow to Zoho Payroll, Odoo Payroll or your payroll provider once the attendance period is locked, so payroll no longer starts with a pile of timesheets.
FM company with staff at client sites
How attendance software in the UAE looks in practice. Illustrative; every project is scoped to the business.

For example, a facilities management company runs cleaners, technicians and security guards at client buildings in Abu Dhabi, Sharjah and the northern emirates. Supervisors fill paper sheets at each site, overtime is disputed every month, and summer midday break hours are not recorded, making it hard to show compliance if a labour inspector asks.
- Set up Zoho People with geofenced mobile check-in at each client building, and supervisor check-in for staff without smartphones using a shared site device.
- Configure summer midday break rules, reduced Ramadan hours and overtime thresholds, so exceptions appear automatically instead of being counted by hand.
- Send approved hours by client site into Zoho Payroll for WPS and into a monthly report used to support client billing for labour hours.

Which platform for attendance software in the UAE?
An honest comparison. We implement all of these, so the recommendation follows your processes, team and budget.
| Option | Best when | How it fits this need |
|---|---|---|
| Zoho People + Zoho Payroll | UAE payroll with WPS files is the main downstream need. | Strong choice for mixed office and field workforces across emirates. Geofencing, shift rules and a direct payroll link reduce manual handoffs, and the UAE Payroll edition produces the WPS SIF. |
| Odoo Attendances | Attendance should link to projects, timesheets and invoicing in Odoo. | Good when labour hours need to feed project costing or client invoices. UAE payroll needs extra configuration, so check effort if WPS output is the priority. |
| Dynamics 365 with Power Apps | Large groups already standardised on Microsoft HR tools. | Power Apps can capture attendance into Dataverse and feed a payroll provider. Sensible only for organisations already invested in the Microsoft stack; overkill for most SMEs. |
| Biometric vendor software only | Single site, stable hours, payroll handled by a bureau. | Device software records punches but rarely handles rosters, approvals or UAE rules. Adequate for a small, single-site team with predictable shifts and few exceptions. |
What changes in the UAE
The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.
Summer midday break
MOHRE announces a midday break for outdoor work each summer. Site rosters can include the break window, so hours are counted correctly and supervisors can show compliance if asked. We confirm the current requirement at scoping.
Reduced Ramadan hours
Working hours are shorter in Ramadan for private sector staff. Rosters and overtime thresholds switch to Ramadan hours for the month, so employees are not shown as leaving early and overtime is calculated fairly.
Feeding WPS payroll
Attendance drives unpaid absence and overtime, which change the salary in the WPS file. Locking attendance before payroll means the WPS file matches approved hours and fewer corrections are needed after salaries are paid.
What drives the cost, and what it connects to
No price list: we quote a fixed price in AED after discovery. These are the factors that move the effort up or down.
Sites and geofences
Each work site needs a location, geofence radius and testing. Companies with staff spread across many client buildings or emirates need more setup than single-site employers.
Existing device integration
Connecting existing biometric readers depends on the device brand and whether it exports data through an API, a file or a middleware service.
UAE working-time rules
Ramadan hours, summer break, overtime rates, weekend definitions and public holidays each need rules. More categories of staff mean more rule combinations to test.
Payroll and billing outputs
Feeding payroll only is the simpler case. Also producing billable hours by client, project or cost centre adds reports, approval steps and client sign-off rules.
What it connects to
Approved hours, overtime and unpaid leave flow into the monthly payroll run and the WPS SIF file.
Punch data imports from existing fingerprint or face devices at fixed offices and warehouses on a set schedule.
Hours logged at client sites post to projects for costing and, where contracts allow, time-based invoicing.
Attendance, overtime and absence trends by site, emirate and department feed management dashboards.
New joiners and leavers sync from the directory so attendance access starts and stops with employment.
How we deliver attendance software
Phases, indicative timing and what is delivered in each. Scope is fixed and priced in AED before we start.
Current state
We review devices, sites, shift patterns and how attendance reaches payroll today, then agree a fixed quote in AED.
Rules and rosters
Shift patterns, grace periods, overtime rules and approval chains are agreed with HR and operations.
Devices and app
Biometric devices are connected, geofences drawn and the mobile app configured and tested at each site.
Parallel month
Attendance runs alongside the old method for one payroll period to check totals and fix exceptions.
Payroll link live
Approved attendance feeds payroll directly, and supervisors take over the daily exception routine with our support.
When attendance software is the wrong answer
If all your staff are salaried office workers on fixed hours with no overtime, a full attendance setup brings little; leave management and a simple check-in may be enough. And biometric devices without a cloud connection or API can be hard to integrate; sometimes replacing a few old terminals is cheaper than working around them.
How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.
Checklist and common mistakes
Buyer's checklist
What to ask for before you choose a provider.
- Ask the provider to show how summer midday break and reduced Ramadan hours are configured and reported.
- Require proof that approved hours reach your payroll in a format that produces a valid WPS file.
- Check whether staff without smartphones can be checked in by a supervisor, with the supervisor's identity logged.
- Confirm how geofence accuracy is tested at large sites such as warehouses, campuses or construction plots.
- Ask where attendance data and any face images are stored, and how this fits PDPL obligations.
- Get the exact list of biometric device models the provider has integrated before, and how imports are scheduled.
Common mistakes
What we see go wrong in the UAE, and how to avoid it.
- Treating punches as payroll-readyRaw punches include duplicates, missed outs and wrong devices. Build an exception review step so managers approve hours before anything reaches payroll or WPS.
- Forgetting the summer midday breakOutdoor workers' break hours in summer must be reflected in schedules. Configure the rule for affected staff groups rather than relying on supervisors to remember.
- Geofences drawn too tightA small radius around a large site causes failed check-ins at the far gate. Test the geofence on the ground and set it by site size.
- No policy before the softwareGrace periods, rounding and overtime approval are often undocumented. Agree the attendance policy in writing first, then configure it, so disputes have a clear reference.
