What we use to deliver goods receiving software
Tools and platforms we typically use, and the systems it connects to. The final choice is made against your systems, budget and team.
Goods Receiving Software in the UAE: what is included
Goods receiving software in the UAE for procurement and finance as much as the store: goods received notes (GRNs) against purchase orders, partial and short deliveries, discrepancy approval, three-way matching with supplier invoices, returns to vendor, landed cost and goods-received-not-invoiced accruals.
GRN against the PO
Storekeepers receive against the open purchase order, recording quantities actually delivered by scan or tap, and the GRN prints or emails with the supplier's delivery note reference. GRNs are numbered automatically.
Partial and short deliveries
Partial deliveries keep the balance open on the PO, while short or over deliveries beyond tolerance need a buyer's approval before the GRN is posted. Tolerances are set per supplier.
Three-way match
Supplier invoices are matched to PO and GRN quantities and prices. Mismatches are blocked for payment until the buyer or finance resolves them. Price tolerances are configurable per item category.
Returns to vendor
Rejected or damaged goods create a return-to-vendor document with reason, linked to the original GRN, and the expected credit note is tracked until received. Open returns are reviewed weekly. Reasons are reported monthly.
Landed cost on receipt
Freight, insurance, 5% customs duty and clearing bills are linked to the GRN and allocated to items, so stock cost is final even when those bills arrive weeks later. Allocation rules are configurable.
GRNI accruals
Goods received but not yet invoiced are listed and accrued at month-end, so your P&L and stock reflect deliveries even when suppliers invoice late. Aged GRNI items are flagged for follow-up.
The platforms we deliver it on
Real screens from the platforms we implement. Yours are configured to your entities, processes and KPIs.

The Zoho Inventory dashboard
Sales activity, inventory summary, low-stock and top-selling items, and order status, on web and mobile.
- Zoho: fastest and lowest cost per user for SMEs and growing teams.

Replenishment in Odoo Inventory
Products below their minimum with the proposed route: buy, manufacture or transfer between warehouses.
- Odoo: strongest where stock, manufacturing and operations lead.

A Business Central role centre
The home page each user gets for their role: headlines, activity cues, KPI tiles, charts and actions. The numbered callouts come from Microsoft's documentation.
- Dynamics 365: best for Microsoft-centric companies and larger groups.
What changes in the UAE
The local rules and realities we design for before go-live. Rules change, so we re-check the current position at scoping.
Input VAT and valid invoices
Recovering input VAT needs a valid tax invoice with the supplier's TRN. Matching invoices to GRNs catches missing TRNs or wrong VAT before the VAT 201 return is filed.
E-invoicing ahead
Under the UAE e-invoicing programme, supplier invoices will arrive in structured PINT AE format via ASPs, making automatic matching to GRNs easier. Check the Ministry of Finance for the latest dates.
Customs duty in cost
The 5% customs duty paid on imports belongs in inventory cost. Linking the customs bill to the GRN gets it into item cost rather than a general expense line.
How we deliver goods receiving software
Phases, indicative timing and what is delivered in each. Scope is fixed and priced in AED before we start.
Procure-to-pay review
PO, GRN and invoice flow reviewed with procurement, stores and finance; fixed AED quote issued.
Rules and tolerances
Receiving tolerances, approval limits, return reasons and landed cost rules agreed. Finance and procurement sign off the rules.
Configure
GRN, matching, returns and accrual reports configured and tested with real suppliers. Exceptions are tested with real invoices.
Parallel month
New GRN process runs through one month-end; accruals compared with the old method. Differences are explained before handover.
Handover
Procedures documented, users trained by role, month-end checklist agreed with finance. Everyone knows their step in the process.
When goods receiving software is the wrong answer
If you buy mostly services or direct-to-site materials that never enter a store, a stock-based GRN process adds admin. A simpler receipt confirmation by the requester, with invoice approval, fits better. We would set up that lighter flow for non-stock purchases.
How we handle it: We implement Zoho, Odoo and Dynamics 365 and build AI and custom software, so our written recommendation can point you to a simpler option, or to doing nothing yet.
