Frappe HR in Ireland

Frappe HR gives Irish employers one place for employee records, leave, attendance, shifts, onboarding and expense claims, without per-user fees. It does not run Irish statutory payroll, so we connect it to the Irish package you already trust, such as BrightPay or Thesaurus, and bring the payroll journal back into ERPNext by cost centre.

Overview

What Frappe HR does well, and where payroll fits

Frappe HR is the open-source HR and payroll app from Frappe. For Irish organisations its strength is everything around pay: an employee master with documents and history, leave policies and applications, holiday lists, shift types, check-ins from biometric devices or the mobile app, expense claims with approvals, appraisals and onboarding checklists. Managers approve requests in one place and staff see their own balances without emailing HR.

Its payroll module, though, is generic. Salary structures and salary slips exist, but there is no Irish localisation for PAYE, PRSI, USC or Revenue Payroll Notifications, and no real-time reporting to Revenue. Rather than bending it to fit, we keep statutory payroll in a proven Irish package and pass it clean inputs every period: hours, overtime, leave taken, allowances and details of starters and leavers.

What you get

How we set up Frappe HR for Irish employers

Employee records in one place

Contracts, job history, emergency contacts, qualifications and documents stored against each employee, with role permissions so line managers see their own team and only the HR team can open sensitive fields such as salary.

Leave policies and balances

Leave types, accrual rules and holiday lists configured for full-time and part-time staff, so annual leave balances build up automatically and every request routes to the right manager for approval.

Attendance and shift rosters

Shift types, rosters and check-ins from biometric devices or the Frappe HR mobile app produce attendance records, late arrivals and overtime figures, ready to feed the payroll export each period.

Expense claims with approvals

Staff submit claims with photos of receipts, managers approve them on their phones and approved amounts post to ERPNext as payables or go to payroll as reimbursements, depending on your policy.

Payroll package link

Each period an export or API job sends hours, leave and allowances to BrightPay, Sage Payroll, Collsoft or Thesaurus, and the posted payroll journal comes back into ERPNext split by cost centre.

Onboarding and exit checklists

Checklists for starters and leavers assign tasks to HR, IT and managers, from laptop issue and system access to final leave payout, so nothing depends on someone happening to remember on the day.

Irish compliance

Irish employment rules and how Frappe HR handles them

TopicThe Irish ruleWhat we set up
PAYE ModernisationSince 2019 every pay run is reported to Revenue in real time, and employers receive a Revenue Payroll Notification setting each employee's deductions.RPNs are retrieved and applied inside your Irish payroll package. Frappe HR supplies the inputs and keeps tax identifiers visible only to the HR and payroll roles that need them.
PRSI and USCThe deductions taken from an employee's pay are PAYE income tax, PRSI and USC, and employers pay employer PRSI on top of gross pay. These are calculated only in the payroll package. The journal it produces, with gross pay, deductions and employer PRSI, imports into ERPNext against the right cost centres and liability accounts.
Annual leaveFull-time employees are entitled to four working weeks of statutory annual leave, and Ireland has ten public holidays each year.Leave policies set the statutory minimum or your more generous allowance, pro rata for part-time staff, and the holiday list carries the public holidays for each calendar year.
Auto-enrolment pensionIreland's auto-enrolment retirement savings scheme, My Future Fund, began in January 2026, adding a new pension step to the payroll cycle for many employers.Contributions are worked out and reported by your payroll package. Frappe HR can record each employee's pension status, so HR and payroll work from the same list of people.

We configure the system and check it against your accountant’s figures; we are not tax advisers, and your accountant files the returns. Last reviewed 24 October 2026.

How it runs

Rolling out Frappe HR

1

HR data review

We gather employee lists, contracts, leave balances and current policies from spreadsheets or your old HR tool, and agree which records are current and complete.

2

Policies and structure

Departments, designations, leave types, holiday lists, approval chains and expense rules are configured to mirror how your organisation actually runs today, not how an old policy document says it should.

3

Attendance set-up

Shift types and rosters are created, biometric devices or the mobile app are connected, and a parallel run compares attendance figures against your current records.

4

Payroll link testing

Exports to your Irish payroll package are tested over at least one full pay period, and the returning journal is checked against payroll reports before going live.

5

Rollout to staff

Managers receive short training on approvals, staff get a simple guide to requesting leave and claiming expenses, and HR keeps a direct line to our team.

FAQ

Frappe HR in Ireland: questions answered

Can Frappe HR run Irish payroll?
Not for statutory purposes. Frappe HR has salary structures and slips, but no Irish localisation for PAYE, PRSI, USC, Revenue Payroll Notifications or real-time submissions. We therefore keep payroll in an Irish package and use Frappe HR for everything that feeds it. That split keeps compliance with software built for Irish rules.
Which Irish payroll packages can you connect to?
We regularly plan links with BrightPay, Sage Payroll, Collsoft and Thesaurus Payroll Manager. Depending on the package, the connection is a structured file export and import or an API job. If you use a payroll bureau, we send them the same inputs in the format they ask for.
Can staff use Frappe HR on their phones?
Yes. Frappe offers a mobile app for Frappe HR, and the web interface also works on phones. Staff can check in and out, apply for leave, see balances and submit expense claims with receipt photos, while managers approve requests from wherever they happen to be working that day.
Do we need ERPNext to use Frappe HR?
Frappe HR is installed on top of ERPNext and relies on it for companies, cost centres and accounting. You do not have to use stock, selling or manufacturing, though. Many organisations start with HR and accounts only, and the extra modules stay hidden until they are needed.
How is employee data protected?
Employee data falls under GDPR and the Data Protection Act 2018. We host in an EU region, restrict sensitive fields to HR roles, use user permissions so managers see only their own teams, and keep a version history of changes. Retention rules for leavers are agreed with you and applied consistently.
How does the auto-enrolment pension affect our set-up?
The scheme that began in January 2026 is handled by your payroll package, which calculates and reports contributions. In Frappe HR we add a field for pension status and include it in the payroll export, so new starters are flagged and HR and payroll agree on who is enrolled.
