Overview

Production planning and costing in one system

Many Irish manufacturers run production on spreadsheets beside an accounts package, so costing is a guess and stock is counted twice. ERPNext puts the bill of materials, routing, workstation rates, raw material stock and finished goods valuation in one database. When a work order completes, materials are consumed, labour and overhead are applied and the finished batch arrives in stock at a cost you can explain.

The Manufacturing module supports make-to-stock and make-to-order, subcontracting to outside processors, production plans that turn sales orders into material requests, and job cards that track time per operation. Quality Inspection templates check incoming materials and finished goods. For regulated customers, batch and serial numbers trace a finished unit back to the supplier lot it came from, and forward to every customer who received it.

What you get

ERPNext manufacturing features we configure

Multi-level bills of materials

Bills of materials with sub-assemblies, scrap and process loss, alternative items and operating costs, versioned so engineering changes are recorded and older BOMs stay available when you need to look back at costing history.

Work orders and job cards

Work orders reserve and consume materials, while job cards record operator time, quantities and downtime against each operation and workstation, giving production managers real figures in place of standard estimates.

Production planning runs

Production plans gather open sales orders and forecasts, explode BOMs, net off stock and raise material requests and work orders, so buyers and planners work from the same demand picture.

In-process quality inspections

Inspection templates with parameters and acceptance ranges run at goods receipt, between operations and before dispatch, with failed lots held in a separate quarantine warehouse until someone authorised releases them for use.

Batch and serial traceability

Batch numbers on raw materials and finished goods, serial numbers on assembled units, and trace reports that follow a lot forwards to customers or backwards to suppliers for complaints and recalls.

Subcontracting to outside processors

Send materials to an outside processor for plating, heat treatment or packing, track what they hold, receive the finished items and post the service charge, all against a subcontracting order.

Irish tax and trade points for manufacturers

TopicThe Irish ruleWhat we set up
VAT on goodsGoods sold in Ireland carry VAT at 23%, 13.5%, 9%, 4.8% or 0% depending on the product, and VAT on qualifying purchases can be reclaimed. Each finished item and raw material gets an item tax template, so sales invoices and supplier bills pick the right rate automatically and production cost stays net of reclaimable VAT.
Intra-EU salesWhen a manufacturer makes B2B supplies to VAT-registered customers in other EU states, the reverse charge applies and the sales are reported on VIES returns.Export customers sit in an EU tax category, dispatch paperwork prints reverse charge wording, and a report by customer VAT number and period supports your VIES return.
Return of Trading DetailsAlongside the VAT3 returns, the annual Return of Trading Details filed on ROS summarises the year's sales and purchases by VAT rate.Purchases of materials, consumables and capital equipment map to the right tax templates, so a year-end report produces the RTD totals by rate without hours of manual analysis.
E-invoicingRevenue has announced a phased move to B2B e-invoicing in line with the EU's VAT in the Digital Age package.Manufacturers with many trade customers benefit from structured invoice data now. We keep item codes, units and customer VAT numbers complete, so an e-invoice output can be added cleanly.

We configure the system and check it against your accountant’s figures; we are not tax advisers, and your accountant files the returns. Last reviewed 24 October 2026.

How it runs

Rolling ERPNext out on the factory floor

1

Shop-floor walk

We follow a product from goods receipt to dispatch, noting every handover, paper form and spreadsheet, and agree which data operators can realistically capture during a shift.

2

Item and BOM build

Item codes, units, BOMs, routings and workstation rates are built and checked with engineering, starting with your highest-volume products so costs can be compared early.

3

Pilot production line

One line or product family runs on work orders and job cards first. We compare actual costs with your old estimates and refine rates before extending further.

4

Quality and traceability

Inspection templates, batch rules and quarantine warehouses go live, and we run a mock recall to prove a lot can be traced in both directions.

5

Costing review

After the first full month we review variances between planned and actual costs with finance and production, adjust workstation rates and agree the costing method going forward.

FAQ

ERPNext for Manufacturing in Ireland: questions answered

Does ERPNext suit process manufacturing as well as discrete?
Yes, within limits. Food, drink and chemical producers use BOMs with process loss, batch-managed ingredients and quality inspections. Discrete manufacturers use multi-level BOMs, routings and serial numbers. Highly complex recipe scaling or continuous process control usually needs a custom app or a specialist system feeding ERPNext.
Can ERPNext calculate actual product cost?
Yes. Material cost comes from the valuation of items actually consumed, labour and machine cost from job card time against workstation rates, and overheads from operating costs on the BOM. Comparing those actuals with the standard cost on the BOM shows where each work order made or lost money.
Can operators record work on tablets on the shop floor?
Yes. Job cards work in a browser, so tablets or shared terminals at each workstation let operators start and stop operations, record quantities and log downtime. We keep their screens deliberately simple, with large buttons and only the fields they need, so data capture does not slow production.
Can ERPNext meet medical device or pharma traceability requirements?
ERPNext provides the traceability records, inspection results and document control that such customers expect from suppliers. Formal validation for regulated environments remains your quality team's responsibility. We support it with configuration documentation and test evidence, but we do not describe ERPNext as a pre-validated system.
How do you handle engineering changes to a BOM?
A new BOM version is created rather than editing the active one. Once approved, it becomes the default for new work orders, while open work orders keep the version they started with. That gives you a clear history of what was built to which design, which matters during complaints.
Can ERPNext plan capacity across machines?
ERPNext can schedule operations against workstation working hours when work orders are created, and it flags clashes where capacity runs short. It is not a full finite scheduling tool, so plants with very tight sequencing sometimes add a scheduling app or a custom planning board on top.
