Overview

One system from the till to head office

A growing retailer often has a till system in each shop, a stock spreadsheet at head office and an accountant rebuilding sales from end-of-day printouts. ERPNext replaces that with a POS Profile for each store, a shared item master with barcodes, stock held per shop warehouse and POS closing entries that post sales, payments and VAT to the ledger at the end of every shift.

Point of Sale in ERPNext is browser-based and runs on touchscreen terminals, laptops or tablets with receipt printers and barcode scanners. Loyalty programmes, coupon codes and pricing rules apply at the till. Head office sees sales by store, category and hour, and can move stock between shops when one is running short of a line and another is sitting on too much.

What you get

Retail features we configure in ERPNext

Point of sale per store

POS Profiles set the warehouse, price list, payment methods, receipt format and permitted users for each shop, with opening and closing entries so every till balances at the end of the shift.

Planning for connection drops

The standard ERPNext POS needs a network connection. Where broadband is unreliable we assess options, from a mobile data backup to open-source Frappe POS apps that can queue sales offline, and test them before rollout.

Multi-store stock visibility

Each shop is its own warehouse, with reorder levels, transfers from a central store and stock counts by barcode, so head office sees what is on every shelf before ordering more.

Loyalty and promotions

Points-based loyalty programmes, coupon codes and pricing rules for multi-buy offers reward repeat customers, with the loyalty liability and every redemption posted correctly in the accounts behind the scenes, where finance can review them.

Head office trading reports

Sales by store, category, cashier and hour, gross margin by item and stock cover per shop come from one database, so weekly trading meetings start with the same numbers for everyone.

Online and in-store together

Connect ERPNext to your web shop so online orders draw on the same stock, or use the built-in website and shopping cart, giving customers accurate availability whether they buy at the counter or online.

Irish VAT and data rules at the till

TopicThe Irish ruleWhat we set up
Mixed VAT basketsA single basket can mix goods at 23%, 13.5%, 9% and 0%, and each item must be charged at its own correct rate.Item tax templates sit on each product or item group, so the POS calculates VAT line by line and the customer receipt shows a breakdown by rate.
VAT3 from till salesRetail takings feed the VAT3 return, usually filed every two months on ROS, so till sales must reconcile with the VAT that is reported.POS closing entries consolidate each shift into sales invoices with VAT by rate, and our VAT3 report reads those postings, so nobody rebuilds figures from till printouts.
Loyalty customer dataLoyalty sign-ups and email receipts collect personal data covered by GDPR and the Data Protection Act 2018, overseen by the Data Protection Commission.Loyalty customers record consent, staff roles limit who can export contact lists and inactive loyalty records can be anonymised on a schedule you agree with us.
Year-end RTDRetailers also file the annual Return of Trading Details on ROS, summarising the year's sales and purchases by VAT rate.Because every till sale and supplier bill carries a tax template, the year-end RTD totals come from the same ledger rather than a separate analysis of shop takings.

We configure the system and check it against your accountant’s figures; we are not tax advisers, and your accountant files the returns. Last reviewed 24 October 2026.

How it runs

Taking ERPNext into your shops

1

Store visit

We watch a busy trading period in one shop, note how staff handle returns, discounts and voids, and check the hardware, network and receipt printers already in place.

2

Item and barcode set-up

Products, variants for sizes and colours, barcodes, price lists and VAT templates are loaded and tested, with a sample of items scanned at a real till.

3

Pilot shop

One store runs ERPNext POS for a few weeks while we watch closing entries, stock movements and VAT postings daily and fix anything that slows the queue.

4

Staff training

Short hands-on sessions cover sales, returns, voids, shift opening and closing, and stock counts, with laminated quick guides left beside every till for new starters.

5

Roll out to stores

Remaining shops switch in waves, each with an opening stock count, a trained shift lead and our team on call during its first trading weekend.

FAQ

ERPNext for Retail and POS in Ireland: questions answered

Does ERPNext POS work offline?
The standard Point of Sale in current ERPNext versions needs a connection to the server. For shops with unreliable broadband we look at a mobile data backup, a local fallback procedure or community POS apps built on Frappe that offer offline queuing, and we test the chosen option under real conditions before relying on it.
What hardware do we need?
A touchscreen terminal, laptop or tablet with a modern browser, a receipt printer, a barcode scanner and a cash drawer. Many retailers reuse existing hardware. We test your printers and scanners during the pilot, because a slow receipt or a missed scan is what customers notice first.
Can ERPNext handle clothing sizes and colours?
Yes. Item variants generate each size and colour combination from one template item, each with its own barcode and stock level. Reports roll up to the parent style, so buyers see how a style sells overall and which sizes run out first in each shop.
Can we run a loyalty scheme?
Yes. Loyalty programmes award points per amount spent, with tiers if you want them, and customers redeem points at the till. Point balances are tracked per customer and the outstanding liability is visible in the accounts, so finance knows what future redemptions could cost the business.
Can each shop have different prices?
Yes. Each POS Profile can use its own price list, and pricing rules can target particular stores, dates or customer groups. That suits retailers with outlet stores, tourist locations or promotions that run only in selected shops, while the item master and stock records stay shared across the chain.
How do card payments work?
Most Irish retailers keep their existing card terminal, and the cashier selects card as the payment mode in ERPNext so takings reconcile by method at shift close. A direct terminal integration is possible as custom work, depending on your payment provider's interface and its documentation.
