ERPNext Implementation in Ireland

A good ERPNext rollout is mostly decisions made early: how companies, warehouses and cost centres are structured, which Irish VAT rates apply where, and what stays outside the system. We run implementation as a fixed-price project with clear phases, a staging site your team tests on, and a planned go-live at the start of a VAT period.

Overview

What an ERPNext implementation involves

Implementation is more than installing software. ERPNext ships with sensible defaults, but an Irish wholesaler, a Kildare engineering shop and a Galway software reseller each need a different company structure, item set-up and approval chain. Our job is to turn your way of working into configuration: naming series, accounting dimensions, price lists, stock valuation method, workflows and print formats that look like your current paperwork.

We also decide what ERPNext should not do. Statutory payroll stays in an Irish package, ROS filing stays with your accountant, and a specialist tool may remain for something like route planning or design files. Drawing those lines early keeps the scope honest, keeps the price fixed and stops the project drifting into rebuilding every old spreadsheet inside the new system.

What you get

What is included in an implementation

Company and ledger design

We design the company tree, chart of accounts, cost centres and accounting dimensions with your accountant, so management reports, project margins and VAT figures all come from the same postings without manual journals.

Data import with control totals

Masters and open items load through the Data Import tool from cleaned templates. Each load runs first on staging, with debtor, creditor and stock value totals agreed before anything touches production.

Workflows and approvals

Purchase orders above a set value, credit notes and price overrides route to the right approver. We configure Frappe workflows with clear states and email alerts rather than relying on people remembering to ask.

Branded business documents

Quotations, sales invoices, delivery notes and statements use print formats that match your brand and show what Irish customers expect to see, including your VAT number and a VAT breakdown by rate.

Dashboards from day one

Each role gets a workspace with the numbers they check daily: overdue debtors for finance, reorder levels for the stores, open orders for sales and margin by project for the directors.

User acceptance testing

We write test scripts from your real scenarios and your staff run them on staging. Go-live waits until every script passes and the finance lead has signed off the trial balance and VAT report.

Irish points we settle during implementation

TopicThe Irish ruleWhat we set up
Corporation taxIrish corporation tax is charged at 12.5% on trading income and 25% on non-trading income, so the accounts need to show the two streams apart. We structure income accounts and accounting dimensions so trading revenue sits apart from rent, interest and other non-trading income, giving your accountant clean totals at year end.
VAT periodsVAT3 returns are usually filed every two months through ROS, with an annual Return of Trading Details summarising the year.We align the fiscal year and accounting periods with your VAT calendar, set period closing rules and plan go-live for the first day of a VAT period, so no return straddles two systems.
Selling into the EUB2B supplies to VAT-registered customers in other EU member states use the reverse charge and are reported on periodic VIES returns.A tax category for EU business customers applies a reverse charge template, prints the required wording on invoices and feeds a report of those sales listed by customer VAT number.
E-invoicingRevenue has announced a phased move to B2B e-invoicing in line with the EU's VAT in the Digital Age package. We keep customer VAT numbers, addresses and item data clean and structured from the start, so adding a compliant e-invoice output later is a contained job rather than a data clean-up.

We configure the system and check it against your accountant’s figures; we are not tax advisers, and your accountant files the returns. Last reviewed 24 October 2026.

How it runs

Our implementation phases

1

Discovery workshops

Short sessions with each department capture how work flows today, which reports matter and where the pain sits. We finish with a process map your team recognises as accurate.

2

Solution design sign-off

A design document records every configuration decision, the modules in scope, any custom work and what stays outside ERPNext. Once you sign it, the fixed price is confirmed.

3

Build on staging

Configuration happens on a staging site in agreed sprints. At the end of each sprint your key users click through what has been built and tell us what feels wrong.

4

Data loads and testing

Trial data loads are followed by scripted testing of real scenarios, from purchase to payment and order to cash, until results match expectations without workarounds.

5

Cut-over and hypercare

Final balances load at the period boundary, users start live work, and our team stays close for the first weeks, fixing issues the same day and coaching people at their desks remotely.

FAQ

ERPNext Implementation in Ireland: questions answered

What does a fixed-price implementation include?
The price covers everything in the signed design document: workshops, configuration, agreed custom work, data migration from named sources, testing support, training and help through go-live. Anything new that appears later is quoted separately as a change, so you always know the cost before work starts. We do not bill open-ended hours for the core project.
When is the best time to go live?
The cleanest point is the first day of a VAT period, and ideally the start of a financial year, because opening balances are simpler and no VAT3 return mixes two systems. If waiting for year end is impractical, a mid-year go-live at a VAT period boundary works well with a little extra reconciliation.
How much of our team's time will it take?
Expect each department lead to spend a few hours a week during discovery and testing, with more effort around data checks and training. One internal project owner who can make decisions quickly matters more than anything else. We plan workshops around your busy periods so normal trading carries on.
Can we start with accounts and add stock later?
Yes. Many Irish SMEs begin with Accounting, Selling and Buying, then add Stock, Manufacturing or Projects in a second phase once the ledger has settled. We design the item master and chart of accounts with later modules in mind, so phase two extends the system rather than reworking it.
What happens if the scope changes mid-project?
We log the request, explain its effect on cost and timing in writing, and you decide whether to add it now, defer it to a later phase or drop it. Small adjustments that fit inside agreed effort are absorbed without fuss. Nothing extra is billed without your approval.
Do we need our own IT staff?
No. On Frappe Cloud the platform handles servers and routine updates, while we look after configuration and support. If you choose self-hosting on your own cloud account, someone needs to own that infrastructure, which can be your IT provider or us under an annual maintenance contract.
