ERPNext Migration in Ireland

Switching ledgers is where most ERP projects either earn trust or lose it. We move customers, suppliers, items, open invoices, stock and balances from Sage, QuickBooks, Xero, Excel or an older ERP into ERPNext, reconcile every control total with your accountant and time the cut-over around your VAT calendar, so the first VAT3 from ERPNext is one you can trust.

Overview

What moves, what stays and why

Not everything in an old system should come across. Copying every historic transaction into ERPNext is slow, prone to error and rarely useful. Our usual approach brings over active masters, open documents and balances at a cut-over date, plus summarised monthly balances for comparison reporting, while the old system stays available read-only for history, audits and any questions from Revenue.

The source matters too. Xero and QuickBooks Online export cleanly through their reports and APIs. Sage desktop data needs careful extraction, often with duplicate customers and old stock codes to tidy. Spreadsheets need the most work, because every sheet has its own logic. We profile the data first, agree a cleansing list with your team and only then start loading anything.

What you get

How we handle ERPNext data migration

Data profiling first

Before mapping anything we analyse your exports for duplicates, missing VAT numbers, inactive items, odd units of measure and negative stock, then give you a short cleansing list ranked by impact.

Field mapping workbook

A shared workbook maps every source field to its ERPNext target, including customer groups, item groups, tax templates, payment terms and price lists, so your team can see and approve each decision.

Repeatable trial loads

Imports are scripted so they can run again from scratch. We perform several trial loads on staging, each followed by checks, until the numbers match without any manual fixes in between.

Accountant reconciliation sign-off

Debtor and creditor ageing, stock quantity and value, bank balances and the trial balance are compared line by line with the source, and your accountant signs a reconciliation pack before cut-over.

Spreadsheet consolidation into masters

Businesses running on Excel get price lists, stock sheets and customer lists merged into single clean masters, with one named owner responsible for each data set once ERPNext is live.

Read-only archive plan

We agree how the old system stays reachable after cut-over, whether a retained licence, an export to a searchable archive or a reporting copy, so history is there when someone asks for it.

Irish points to protect during migration

TopicThe Irish ruleWhat we set up
Filed VAT periodsVAT3 returns already filed on ROS cover past periods, and those figures should not be recalculated by a new system after the event. We set the cut-over at the start of a VAT period, load prior figures as summary balances only and lock those periods in ERPNext so nobody posts into them by accident.
Open invoices and VATEach open sales and purchase invoice was issued at a specific Irish rate of 23%, 13.5%, 9%, 4.8% or 0%, and that VAT is already in a return.Open items load as opening invoices for their gross amounts against a temporary opening account, so VAT is not counted twice, with the original VAT detail kept in a reference field.
Payroll historyUnder PAYE Modernisation, every past pay run has already been reported to Revenue in real time from your existing Irish payroll software.Payroll history stays in BrightPay, Sage Payroll or whichever Irish package you use. We move only employee masters, leave balances and cost centre mapping into Frappe HR.
Personal dataGDPR and the Data Protection Act 2018 expect personal data to be kept only for as long as it is needed, with the Data Protection Commission as regulator.Migration is a chance to drop dormant contacts and stale leads. We agree what to leave behind, move files over encrypted connections and delete working copies after sign-off.

We configure the system and check it against your accountant’s figures; we are not tax advisers, and your accountant files the returns. Last reviewed 24 October 2026.

How it runs

Our migration method

1

Source assessment

We inspect the current system, its version, export options and data volumes, and agree with you a cut-over date that lands at the start of a VAT period.

2

Mapping and cleansing

Your team fixes duplicates and gaps at source, guided by our cleansing list, while we complete the mapping workbook and write and test the import scripts.

3

Trial loads

Each trial load into staging is followed by checks of counts and totals. Differences are traced to a cause and fixed in the scripts, not patched by hand.

4

Reconciliation pack

Ageing reports, stock valuation, bank balances and the trial balance are matched with the source and documented in a pack your accountant reviews and signs.

5

Cut-over weekend

Trading in the old system stops, final balances are extracted and loaded, checks are repeated and users start in ERPNext on the first working day of the period.

FAQ

ERPNext Migration in Ireland: questions answered

Can you migrate from Sage desktop accounts?
Yes. Sage desktop data is usually extracted through its reports and export tools, then cleaned before loading. Typical issues are duplicate customer accounts, retired stock codes and nominal codes used inconsistently over the years. We map the Sage nominal ledger to a fresh ERPNext chart of accounts agreed with your accountant rather than copying old habits across.
Will our full transaction history move to ERPNext?
Usually not, and that is deliberate. We bring across open items, balances and summarised monthly totals so year-on-year reports still work. Detailed history stays in the old system or an archive. If you have a strong reason to move detailed history, we can, but it adds time and testing effort.
How long does the old system need to stay available?
Your accountant will advise on how long records must be kept for Revenue and company law purposes. Our job is to make sure the history remains reachable for that period, whether by keeping a read-only licence, exporting to a searchable archive or loading summary data into ERPNext.
Can we migrate from an older ERP such as Dynamics NAV?
Yes. Older ERPs often hold richer data, such as bills of materials, routings and serial numbers, which makes mapping more involved but very worthwhile. We extract through the database or reporting layer, map each object to its ERPNext equivalent and test with your operations team, not just finance.
What happens to stock in transit at cut-over?
We agree a rule before the weekend. Goods received but not invoiced, goods shipped but not delivered and stock at third-party warehouses are listed separately and loaded into dedicated warehouses or accounts, so nothing disappears between systems and your stock valuation agrees on both sides.
Do you also upgrade older ERPNext sites?
Yes. Moving from an old ERPNext major version to a current one is technically an upgrade, not a migration, but it brings similar risks, especially with custom code. We copy the site to staging, upgrade step by step, fix customisations and run your key scenarios before scheduling the production upgrade.
