Our position

How we compare Zoho One and Microsoft 365

  • Feature comparison on real French use cases, not marketing pages
  • Three-year total cost modelled in EUR, licences plus implementation
  • Explicit list of where Microsoft 365 is the better choice
  • TVA, DGFiP and GDPR fit assessed for both
  • No obligation: the comparison is yours whatever you decide
The short answer

Zoho One or Microsoft 365: which should you buy?

For most French businesses the honest answer is both, with Microsoft 365 for productivity and identity and Zoho One for the business applications, integrated with SSO. Replacing Microsoft 365 outright works for some SMEs, and we will tell you if yours is one of them.

Zoho One is not really a productivity suite, it is a business application suite: CRM, accounting, HR, helpdesk, projects, inventory and analytics on one licence. Comparing them directly is comparing different categories.

Microsoft 365 is the stronger productivity suite: Excel, Teams, SharePoint and the identity platform underneath are hard to match, and most French businesses already have it.

French context

What this choice means for a French business

Hybrid working made the shared spreadsheet on a server share unworkable, and most French operational systems have been rebuilt in the cloud since. Both products serve French market; the difference shows up in total cost, in how much configuration you need before it fits, and in how well it connects to the finance system you already run.

We advise clients in Paris, Lyon, Marseille, Toulouse, Lille, Bordeaux, Nantes, Nice, Strasbourg, Grenoble, Montpellier and Rennes and across every French region, and we are equally happy to conclude that you should stay where you are. A bad-fit implementation is worse for us than a lost sale.

Whichever way you go, the next step is usually: data migration and team training.

Choosing in France

Getting Zoho One vs Microsoft 365 right in France

Comparisons only matter if they reflect how French businesses actually run. These are the four tests we apply in Zoho One vs Microsoft 365.

TVA and the CA3 built in

Does the product handle the 20%, 10%, 5.5% and 2.1% rates, the reverse charge and the CA3 or CA12 figures without add-ons?

Ready for e-invoicing

Can it produce Factur-X, UBL or CII invoices and exchange them through an approved platform (Plateforme Agréée), as the reform requires?

GDPR and EU hosting

Can you answer a CNIL-style data protection question and a customer’s EU hosting question with what the product provides?

A partner on French hours

Is there a partner who works CET hours, delivers in French and understands the PCG, the FEC and French payroll links?

What we deliver

Zoho One vs Microsoft 365 compared

Cost, capability, French compliance and switching effort, set out plainly.

01

Cost of ownership

The two are usually complementary rather than alternatives. Where they do overlap, on mail, documents and chat, Zoho One is markedly cheaper.

02

Where Zoho One wins

Zoho One is not really a productivity suite, it is a business application suite: CRM, accounting, HR, helpdesk, projects, inventory and analytics on one licence. Comparing them directly is comparing different categories.

03

Where Microsoft 365 wins

Microsoft 365 is the stronger productivity suite: Excel, Teams, SharePoint and the identity platform underneath are hard to match, and most French businesses already have it.

04

French compliance fit

How each option handles French TVA, French e-invoicing, GDPR data residency and the integrations French finance teams actually need.

05

Switching cost

What a move would involve in practice: data migration, retraining, integration rebuild and the realistic timeline for each.

French compliance

What French compliance means for Zoho One vs Microsoft 365

In France, TVA and corporate tax are filed with the DGFiP, payroll is reported every month through the DSN, and the e-invoicing reform changes how invoices are sent and received from 1 September 2026. These are the rules a French setup has to get right.

ObligationWhat the rule isWhat has to be configured
TVA (VAT)The standard rate is 20%, with 10% for restaurants, passenger transport and some renovation work, 5.5% for most food, books and energy-efficiency works, and 2.1% for the press and some medicines. Returns go on the CA3, monthly or quarterly for small amounts, under the régime réel normal, or on the annual CA12 with instalments under the régime réel simplifié. Intra-EU B2B trade uses the reverse charge (autoliquidation) with EMEBI and DES declarations, B2C distance sales go through the OSS, and import VAT is self-assessed on the CA3.The right rate by item and customer, SIREN and intra-community VAT numbers on every invoice with the mandatory mentions (payment terms, late-payment penalty rate and the EUR 40 fixed recovery fee), reverse charge and OSS treatment set correctly, deductible TVA tracked, and CA3 or CA12 figures for each period.
E-invoicing reformFrom 1 September 2026 every VAT-registered business must be able to receive structured e-invoices, and large and mid-sized companies (GE and ETI) must also issue e-invoices and e-report. SMEs and micro-businesses must issue from 1 September 2027. Invoices travel through approved platforms (Plateformes Agréées) in Factur-X, UBL or CII format, and invoices to the public sector already go through Chorus Pro.Zoho Books' French edition producing Factur-X invoices and connected to B2Brouter, an approved platform, for sending and receiving, customer SIREN numbers captured on every account, and the full flow tested before your issuing date.
Corporate tax (IS)The standard rate is 25%, or 15% on the first EUR 42,500 of profit for qualifying SMEs (turnover under EUR 10m, fully paid-up capital and at least 75% held by individuals). The annual liasse fiscale is built from accounts kept on the Plan Comptable Général, and the FEC (Fichier des Écritures Comptables) must be produced on request in a tax audit.A chart of accounts on the PCG, entities kept separate, fixed assets recorded, and journals kept complete and sequential so the FEC can be produced on request.
Payroll (DSN, URSSAF, PAS)Every month the employer files the DSN (déclaration sociale nominative) through net-entreprises.fr, pays social contributions to URSSAF and withholds income tax at source (prélèvement à la source). Payroll runs on a French payroll engine such as Silae, PayFit, Sage Paie or Cegid; Zoho Payroll is not available in France.Zoho People kept as the HR record and connected to your payroll provider, so hires, pay changes, absences and leavers flow across without rekeying, and payroll journals posting to the ledger.
Employment and data rulesThe legal working week is 35 hours, with RTT days where working time is set above it, five weeks' paid leave (2.5 working days per month), sector collective agreements (conventions collectives) and mandatory company health cover (mutuelle). GDPR is enforced by the CNIL, including consent before non-essential cookies, and the Loi Toubon requires French in consumer documents, employment documents and contracts.Leave, RTT and working-time rules set per collective agreement, accounts provisioned in Zoho's EU data centre (zoho.eu), consent captured for every contact, French templates for customers and staff, and access and deletion requests handled on record.

The filing calendar

  • Monthly, quarterly or annuallyTVA return: the CA3 monthly (or quarterly for small amounts) under the régime réel normal, or the annual CA12 with instalments under the régime réel simplifié
  • MonthlyDSN through net-entreprises.fr, with social contributions to URSSAF and income tax withheld at source
  • Once a yearLiasse fiscale and corporate tax (IS) return, built from the annual accounts
  • 1 September 2026 and 1 September 2027E-invoicing: every business must receive from 2026, large and mid-sized companies issue from 2026, and SMEs and micro-businesses issue from 2027

Who you file with

We configure the system to produce what these returns need, and we test it against your own transactions before go-live. We are not tax advisers: your expert-comptable signs the returns, and rates and thresholds change, so treat this as the shape of the work rather than advice. Last reviewed 24 October 2026.

FAQ

Zoho One vs Microsoft 365: questions answered

Which is better prepared for French e-invoicing in Zoho One vs Microsoft 365?
The test is whether each option produces Factur-X, UBL or CII and either is an approved platform (Plateforme Agréée) or connects to one. Zoho Books, for example, exports Factur-X and connects to B2Brouter, an approved platform. We test each option against a sample of your own invoice flows before recommending one.
What does Zoho One vs Microsoft 365 cost a French business over three years?
Licences are only part of it. We compare licence, implementation, add-ons, e-invoicing platform fees, support and the internal time each option needs over three years, in EUR, so the cheaper sticker price is not mistaken for the cheaper system.
Is Zoho One better than Microsoft 365?
For most French businesses the honest answer is both, with Microsoft 365 for productivity and identity and Zoho One for the business applications, integrated with SSO. Replacing Microsoft 365 outright works for some SMEs, and we will tell you if yours is one of them.
Is Zoho One cheaper than Microsoft 365?
The two are usually complementary rather than alternatives. Where they do overlap, on mail, documents and chat, Zoho One is markedly cheaper. We build a three-year total cost model in EUR covering licences, implementation and the integrations each option needs, so the comparison is arithmetic rather than assertion.
Can we migrate from Microsoft 365 to Zoho One?
Yes. We migrate French businesses from Microsoft 365 regularly, with field mapping, cleansing, a sandbox dry run and a written reconciliation before the old system is retired.
What does Microsoft 365 do better?
Microsoft 365 is the stronger productivity suite: Excel, Teams, SharePoint and the identity platform underneath are hard to match, and most French businesses already have it.
We already use Microsoft 365. Is it worth switching?
Only if the business case holds. If Microsoft 365 is serving you and the cost difference is modest, staying put is the right answer and we will say so. The cases that justify a move are usually consolidation of several tools, licence cost at scale, or needing finance, HR and support on the same platform.
Do you sell Zoho, so aren't you biased?
We are a Zoho Premium Partner, so treat this page as informed rather than neutral. What we can offer is specifics: real feature comparisons, real French pricing and an explicit list of where the alternative is better. We turn down bad-fit projects because they cost us more than they earn.
Which Paris time zone do you work in?
Our consultants work French hours, CET in winter and CEST in summer, for workshops, training and support, with an extended team providing cover outside core hours.
Do you sign an NDA before we share our data?
Yes, as a matter of course. We also work in a sandbox with masked or sample data wherever the real thing is not needed, and document the processing arrangement for your GDPR record of processing activities.
Can we speak to a reference client?
Yes. After the discovery call we will introduce you to a client of comparable size and sector wherever we have one who has agreed to act as a reference.

Where Zoho One is weak - and what we do about it

You pay per user for the whole suite whether a person uses one app or thirty, so it is poor value for large numbers of light users. Not every app in the bundle is best in class.

How we handle it: We size the licence against who actually needs full access and use portal or free-tier access for occasional users.
