Why Shyphan

Why French teams trust us with a Excel migration

  • Sandbox dry run before any live load
  • Written reconciliation you can hand to your auditor
  • History, notes and attachments migrated, not just master data
  • Parallel-run option for finance migrations
  • Rollback plan agreed before cutover
Why move

Why French businesses leave Excel

Spreadsheet bookkeeping cannot produce a clean FEC for a tax audit, has no audit trail, and makes every TVA return a reconstruction exercise rather than a report.

Zoho Books is online accounting for invoicing, banking, TVA and management reporting, and for most French teams the switch is driven by cost, by wanting fewer vendors, or by needing the rest of the business on the same platform rather than by a single missing feature.

We are not evangelists. If Excel is serving you well and the business case is thin, we will say so. Where the case holds, we move you across cleanly and reconcile the result in writing.

Migrating in France

Getting Excel to Zoho Books Migration right in France

A French migration has to carry over TVA history, unbroken invoice numbering and the audit trail behind the FEC without losing anything. This is how we run Excel to Zoho Books Migration.

TVA history kept intact

Open invoices, credit notes and the TVA charged on them come across with their original numbers and dates, so invoice numbering stays continuous and past CA3 returns can still be traced to source.

FEC secured before switch-off

The FEC for every closed year is exported from the old system and archived before it is retired, so you can still produce it if the tax authorities audit a past year.

PCG accounts and balances to the cent

The chart of accounts is mapped to the Plan Comptable Général, and opening balances, open receivables and payables and bank balances are reconciled before go-live.

Parallel run

The old and new systems run side by side for one cycle, so the team trusts the numbers before the switch.

What we deliver

How the Excel to Zoho Books migration runs

Five stages, a sandbox dry run before anything goes live, and a fixed quote in EUR agreed up front.

01

Excel export and audit

A complete extract from Excel, profiled for duplicates, format breaks and referential gaps before any mapping is agreed.

02

Field mapping to Zoho Books

Every object and field mapped, picklists aligned, and the gaps between the two data models flagged in writing rather than discovered at cutover.

03

Cleansing and de-duplication

French postcodes, phone formats, company names and dates standardised, duplicates merged under agreed survivorship rules.

04

Sandbox dry run

A full rehearsal load in a sandbox that you inspect against Excel, with an exception list resolved before the live run.

05

Cutover and reconciliation

Live load on an agreed window, counts and totals reconciled and signed off, and a read-only archive of Excel retained.

French compliance

What French compliance means for Excel to Zoho Books Migration

In France, TVA and corporate tax are filed with the DGFiP, payroll is reported every month through the DSN, and the e-invoicing reform changes how invoices are sent and received from 1 September 2026. These are the rules a French setup has to get right.

ObligationWhat the rule isWhat has to be configured
TVA (VAT)The standard rate is 20%, with 10% for restaurants, passenger transport and some renovation work, 5.5% for most food, books and energy-efficiency works, and 2.1% for the press and some medicines. Returns go on the CA3, monthly or quarterly for small amounts, under the régime réel normal, or on the annual CA12 with instalments under the régime réel simplifié. Intra-EU B2B trade uses the reverse charge (autoliquidation) with EMEBI and DES declarations, B2C distance sales go through the OSS, and import VAT is self-assessed on the CA3.The right rate by item and customer, SIREN and intra-community VAT numbers on every invoice with the mandatory mentions (payment terms, late-payment penalty rate and the EUR 40 fixed recovery fee), reverse charge and OSS treatment set correctly, deductible TVA tracked, and CA3 or CA12 figures for each period.
E-invoicing reformFrom 1 September 2026 every VAT-registered business must be able to receive structured e-invoices, and large and mid-sized companies (GE and ETI) must also issue e-invoices and e-report. SMEs and micro-businesses must issue from 1 September 2027. Invoices travel through approved platforms (Plateformes Agréées) in Factur-X, UBL or CII format, and invoices to the public sector already go through Chorus Pro.Zoho Books' French edition producing Factur-X invoices and connected to B2Brouter, an approved platform, for sending and receiving, customer SIREN numbers captured on every account, and the full flow tested before your issuing date.
Corporate tax (IS)The standard rate is 25%, or 15% on the first EUR 42,500 of profit for qualifying SMEs (turnover under EUR 10m, fully paid-up capital and at least 75% held by individuals). The annual liasse fiscale is built from accounts kept on the Plan Comptable Général, and the FEC (Fichier des Écritures Comptables) must be produced on request in a tax audit.A chart of accounts on the PCG, entities kept separate, fixed assets recorded, and journals kept complete and sequential so the FEC can be produced on request.
Payroll (DSN, URSSAF, PAS)Every month the employer files the DSN (déclaration sociale nominative) through net-entreprises.fr, pays social contributions to URSSAF and withholds income tax at source (prélèvement à la source). Payroll runs on a French payroll engine such as Silae, PayFit, Sage Paie or Cegid; Zoho Payroll is not available in France.Zoho People kept as the HR record and connected to your payroll provider, so hires, pay changes, absences and leavers flow across without rekeying, and payroll journals posting to the ledger.
Employment and data rulesThe legal working week is 35 hours, with RTT days where working time is set above it, five weeks' paid leave (2.5 working days per month), sector collective agreements (conventions collectives) and mandatory company health cover (mutuelle). GDPR is enforced by the CNIL, including consent before non-essential cookies, and the Loi Toubon requires French in consumer documents, employment documents and contracts.Leave, RTT and working-time rules set per collective agreement, accounts provisioned in Zoho's EU data centre (zoho.eu), consent captured for every contact, French templates for customers and staff, and access and deletion requests handled on record.

The filing calendar

  • Monthly, quarterly or annuallyTVA return: the CA3 monthly (or quarterly for small amounts) under the régime réel normal, or the annual CA12 with instalments under the régime réel simplifié
  • MonthlyDSN through net-entreprises.fr, with social contributions to URSSAF and income tax withheld at source
  • Once a yearLiasse fiscale and corporate tax (IS) return, built from the annual accounts
  • 1 September 2026 and 1 September 2027E-invoicing: every business must receive from 2026, large and mid-sized companies issue from 2026, and SMEs and micro-businesses issue from 2027

Who you file with

We configure the system to produce what these returns need, and we test it against your own transactions before go-live. We are not tax advisers: your expert-comptable signs the returns, and rates and thresholds change, so treat this as the shape of the work rather than advice. Last reviewed 24 October 2026.

FAQ

Excel to Zoho Books migration: questions answered

Will our TVA history survive Excel to Zoho Books Migration?
Yes. Invoices, credit notes and the TVA on them are migrated with original numbers and dates, so past CA3 or CA12 returns stay traceable, and we archive the FEC for each closed year from the old system before it is switched off.
When is the best time to run Excel to Zoho Books Migration?
At the start of a financial year or a TVA return period, so the first CA3 in the new system covers a full period. With the e-invoicing reform starting on 1 September 2026, we also plan the move so the new system can receive e-invoices through your approved platform from that date.
Will we lose our Excel history when we move to Zoho Books?
No. Notes, attachments, activity history and closed records come across alongside the master data. Losing history is the quickest way to lose user trust in the new system, so we treat it as in scope from the start.
How long does a Excel to Zoho Books migration take?
For a typical French SME, two to five weeks including the dry run and reconciliation. We import opening balances, the customer and supplier ledgers and open items rather than years of transactions, then reconcile the trial balance before go-live.
What usually goes wrong in a Excel migration?
Spreadsheet bookkeeping cannot produce a clean FEC for a tax audit, has no audit trail, and makes every TVA return a reconstruction exercise rather than a report. We surface these during profiling, before the quote is fixed, rather than raising them as change requests halfway through.
Can we run Excel and Zoho Books in parallel?
For finance migrations we usually recommend one parallel period so the numbers can be compared. For CRM and support tools, parallel running splits the team's attention, so we prefer a clean cutover with the old system left read-only.
What happens to our Excel licences?
Keep them read-only until reconciliation is signed off and your first full period has closed on Zoho Books, then cancel. We plan the timing so you are not paying for both any longer than necessary.
Do you migrate custom fields and workflows too?
Custom fields, yes. Workflows are rebuilt rather than copied, because automation designed for Excel rarely maps cleanly and is usually worth simplifying while you have the chance.
Is Shyphan a Zoho Premium Partner in France?
Yes. Shyphan is a Zoho Premium Partner listed on Zoho's official partner directory, with certified consultants across Zoho CRM, Books, Creator, People and Analytics serving clients throughout France.
How much does Excel to Zoho Books Migration cost in France?
We quote a fixed price in EUR after a free discovery call, so you know the total before committing. Zoho licence fees are billed separately by Zoho and we will tell you exactly which edition you need and why.
Do you work with businesses outside Paris?
Yes. We deliver remotely across the whole France, from Paris, Lyon, Marseille, Toulouse, Lille, Bordeaux, Nantes, Nice, Strasbourg, Grenoble, Montpellier and Rennes to smaller towns, with on-site visits available for larger rollouts.

Where Zoho Books is weak - and what we do about it

There is no manufacturing or MRP, landed-cost handling is simpler than a full ERP's, and multi-entity consolidation across different charts of accounts takes real work.

How we handle it: For manufacturers we say so at the first call and scope Odoo or a Books-plus-Inventory split instead of pretending Books will cover it.
