Our position

How we compare Zoho Books and Xero

  • Feature comparison on real French use cases, not marketing pages
  • Three-year total cost modelled in EUR, licences plus implementation
  • Explicit list of where Xero is the better choice
  • TVA, DGFiP and GDPR fit assessed for both
  • No obligation: the comparison is yours whatever you decide
The short answer

Zoho Books or Xero: which should you buy?

If your practice is Xero-native and you need nothing beyond core accounting, stay with Xero. If you are buying three or four surrounding tools, or you already run Zoho CRM, Zoho Books usually wins on total cost and on integration effort.

Zoho Books includes expense management, project time billing, client portal and inventory in the subscription, features that in Xero typically mean additional apps and additional monthly cost. It also connects natively to Zoho CRM.

Xero has the larger French accountant community, a bigger app marketplace and a bank feed reputation earned over many years. If your accountant works exclusively in Xero, that is a real and legitimate advantage.

French context

What this choice means for a French business

Hybrid working made the shared spreadsheet on a server share unworkable, and most French operational systems have been rebuilt in the cloud since. Both products serve French market; the difference shows up in total cost, in how much configuration you need before it fits, and in how well it connects to the finance system you already run.

We advise clients in Paris, Lyon, Marseille, Toulouse, Lille, Bordeaux, Nantes, Nice, Strasbourg, Grenoble, Montpellier and Rennes and across every French region, and we are equally happy to conclude that you should stay where you are. A bad-fit implementation is worse for us than a lost sale.

If you want to go deeper: the Zoho Books product page, or what a migration would involve.

Choosing in France

Getting Zoho Books vs Xero for French businesses right in France

Comparisons only matter if they reflect how French businesses actually run. These are the four tests we apply in Zoho Books vs Xero for French businesses.

TVA and the CA3 built in

Does the product handle the 20%, 10%, 5.5% and 2.1% rates, the reverse charge and the CA3 or CA12 figures without add-ons?

Ready for e-invoicing

Can it produce Factur-X, UBL or CII invoices and exchange them through an approved platform (Plateforme Agréée), as the reform requires?

GDPR and EU hosting

Can you answer a CNIL-style data protection question and a customer’s EU hosting question with what the product provides?

A partner on French hours

Is there a partner who works CET hours, delivers in French and understands the PCG, the FEC and French payroll links?

French compliance

What French compliance means for Zoho Books vs Xero for French businesses

In France, TVA and corporate tax are filed with the DGFiP, payroll is reported every month through the DSN, and the e-invoicing reform changes how invoices are sent and received from 1 September 2026. These are the rules a French setup has to get right.

ObligationWhat the rule isWhat has to be configured
TVA (VAT)The standard rate is 20%, with 10% for restaurants, passenger transport and some renovation work, 5.5% for most food, books and energy-efficiency works, and 2.1% for the press and some medicines. Returns go on the CA3, monthly or quarterly for small amounts, under the régime réel normal, or on the annual CA12 with instalments under the régime réel simplifié. Intra-EU B2B trade uses the reverse charge (autoliquidation) with EMEBI and DES declarations, B2C distance sales go through the OSS, and import VAT is self-assessed on the CA3.The right rate by item and customer, SIREN and intra-community VAT numbers on every invoice with the mandatory mentions (payment terms, late-payment penalty rate and the EUR 40 fixed recovery fee), reverse charge and OSS treatment set correctly, deductible TVA tracked, and CA3 or CA12 figures for each period.
E-invoicing reformFrom 1 September 2026 every VAT-registered business must be able to receive structured e-invoices, and large and mid-sized companies (GE and ETI) must also issue e-invoices and e-report. SMEs and micro-businesses must issue from 1 September 2027. Invoices travel through approved platforms (Plateformes Agréées) in Factur-X, UBL or CII format, and invoices to the public sector already go through Chorus Pro.Zoho Books' French edition producing Factur-X invoices and connected to B2Brouter, an approved platform, for sending and receiving, customer SIREN numbers captured on every account, and the full flow tested before your issuing date.
Corporate tax (IS)The standard rate is 25%, or 15% on the first EUR 42,500 of profit for qualifying SMEs (turnover under EUR 10m, fully paid-up capital and at least 75% held by individuals). The annual liasse fiscale is built from accounts kept on the Plan Comptable Général, and the FEC (Fichier des Écritures Comptables) must be produced on request in a tax audit.A chart of accounts on the PCG, entities kept separate, fixed assets recorded, and journals kept complete and sequential so the FEC can be produced on request.
Payroll (DSN, URSSAF, PAS)Every month the employer files the DSN (déclaration sociale nominative) through net-entreprises.fr, pays social contributions to URSSAF and withholds income tax at source (prélèvement à la source). Payroll runs on a French payroll engine such as Silae, PayFit, Sage Paie or Cegid; Zoho Payroll is not available in France.Zoho People kept as the HR record and connected to your payroll provider, so hires, pay changes, absences and leavers flow across without rekeying, and payroll journals posting to the ledger.
Employment and data rulesThe legal working week is 35 hours, with RTT days where working time is set above it, five weeks' paid leave (2.5 working days per month), sector collective agreements (conventions collectives) and mandatory company health cover (mutuelle). GDPR is enforced by the CNIL, including consent before non-essential cookies, and the Loi Toubon requires French in consumer documents, employment documents and contracts.Leave, RTT and working-time rules set per collective agreement, accounts provisioned in Zoho's EU data centre (zoho.eu), consent captured for every contact, French templates for customers and staff, and access and deletion requests handled on record.

The filing calendar

  • Monthly, quarterly or annuallyTVA return: the CA3 monthly (or quarterly for small amounts) under the régime réel normal, or the annual CA12 with instalments under the régime réel simplifié
  • MonthlyDSN through net-entreprises.fr, with social contributions to URSSAF and income tax withheld at source
  • Once a yearLiasse fiscale and corporate tax (IS) return, built from the annual accounts
  • 1 September 2026 and 1 September 2027E-invoicing: every business must receive from 2026, large and mid-sized companies issue from 2026, and SMEs and micro-businesses issue from 2027

Who you file with

We configure the system to produce what these returns need, and we test it against your own transactions before go-live. We are not tax advisers: your expert-comptable signs the returns, and rates and thresholds change, so treat this as the shape of the work rather than advice. Last reviewed 24 October 2026.

FAQ

Zoho Books vs Xero: questions answered

Which is better prepared for French e-invoicing in Zoho Books vs Xero for French businesses?
The test is whether each option produces Factur-X, UBL or CII and either is an approved platform (Plateforme Agréée) or connects to one. Zoho Books, for example, exports Factur-X and connects to B2Brouter, an approved platform. We test each option against a sample of your own invoice flows before recommending one.
What does Zoho Books vs Xero for French businesses cost a French business over three years?
Licences are only part of it. We compare licence, implementation, add-ons, e-invoicing platform fees, support and the internal time each option needs over three years, in EUR, so the cheaper sticker price is not mistaken for the cheaper system.
Is Zoho Books better than Xero?
If your practice is Xero-native and you need nothing beyond core accounting, stay with Xero. If you are buying three or four surrounding tools, or you already run Zoho CRM, Zoho Books usually wins on total cost and on integration effort.
Is Zoho Books cheaper than Xero?
Per-user pricing is broadly comparable at the entry level, but the totals diverge once you add the expense, inventory and subscription-billing tools Xero users commonly bolt on. We build a three-year total cost model in EUR covering licences, implementation and the integrations each option needs, so the comparison is arithmetic rather than assertion.
Can we migrate from Xero to Zoho Books?
Yes. We migrate French businesses from Xero regularly, with field mapping, cleansing, a sandbox dry run and a written reconciliation before the old system is retired.
What does Xero do better?
Xero has the larger French accountant community, a bigger app marketplace and a bank feed reputation earned over many years. If your accountant works exclusively in Xero, that is a real and legitimate advantage.
We already use Xero. Is it worth switching?
Only if the business case holds. If Xero is serving you and the cost difference is modest, staying put is the right answer and we will say so. The cases that justify a move are usually consolidation of several tools, licence cost at scale, or needing finance, HR and support on the same platform.
Do you sell Zoho, so aren't you biased?
We are a Zoho Premium Partner, so treat this page as informed rather than neutral. What we can offer is specifics: real feature comparisons, real French pricing and an explicit list of where the alternative is better. We turn down bad-fit projects because they cost us more than they earn.
Where is our data stored?
We provision French clients in Zoho's data centre in Europe (zoho.eu), so your data is processed and stored in the European Union. We document this for your GDPR record of processing activities.
Is Shyphan a Zoho Premium Partner in France?
Yes. Shyphan is a Zoho Premium Partner listed on Zoho's official partner directory, with certified consultants across Zoho CRM, Books, Creator, People and Analytics serving clients throughout France.

Where Zoho Books is weak - and what we do about it

There is no manufacturing or MRP, landed-cost handling is simpler than a full ERP's, and multi-entity consolidation across different charts of accounts takes real work.

How we handle it: For manufacturers we say so at the first call and scope Odoo or a Books-plus-Inventory split instead of pretending Books will cover it.
