Overview

Project overview

Shura Links, the golf operation of Shura Island Golf Company on Saudi Arabia’s Red Sea coast, sells memberships, rounds, retail and services through Lightspeed POS, while its sales team works in Zoho CRM. The two systems were not linked, so customer records, products and prices were maintained twice and the sales pipeline never saw what the till recorded.

Shyphan, a Zoho Premium Partner, built a one-way smart sync from Lightspeed to Zoho CRM, wired the complete sales journey from lead to invoice inside the CRM, and automated quotation-to-sale so a signed Zoho quotation becomes a Lightspeed invoice and a recorded sale without re-keying. The system is live and the business is connected.

The Challenge

It started with one operational gap

Sales and product data lived in the POS. Customers and workflow lived in the CRM. Nothing connected them.

Lightspeed POS

Sales & product data

The source of truth for what is sold and what it costs.

Not linked
Zoho CRM

Customers & workflow

Where the sales team actually works day to day.

Double Entry

New customers and products had to be typed into both systems by hand.

Stale Prices in Quotes

CRM quotations used copied price lists that drifted from the live POS catalogue.

Data Silos

Sales history sat in the POS; the pipeline sat in the CRM; neither saw the other.

Manual Invoicing After the Deal

A signed quotation still had to be re-created as a POS invoice before the sale counted.

So we built the connection

A one-way smart sync from Lightspeed into Zoho CRM - customers, products and live prices - so the CRM always reflects what the POS knows, with no double entry and no data silos.

The Solution

Then we connected the entire sales journey

Every stage from the first enquiry to the recorded sale now lives in one workflow, with the POS feeding the CRM in the background.

What we built

Lightspeed to Zoho CRM Smart Sync

  • One-way sync from Lightspeed POS into Zoho CRM, POS stays the source of truth
  • Customers created at the till appear as CRM contacts and accounts
  • Product catalogue mirrored into CRM products with live prices
  • Price changes in the POS reflected in every new quotation
  • Duplicate detection and matching on customer records

Sales Journey & Quote-to-Sale Automation

  • Six-stage pipeline: Lead, Qualification, Contact + Account, Deal, Quotation, Invoice
  • Tasks, calls, meetings and reminders attached to every deal
  • Quotations built from live prices with discounts, 15% VAT and PDF export
  • Signed quotation pushed to Lightspeed as an invoice and recorded sale
  • Role-based access and live dashboards for pipeline and sales KPIs

Key Customizations & Integrations

POS → CRM Connector

Custom integration between Lightspeed and Zoho CRM, scheduled and event-driven, with error logging.

Live Price Sync

CRM price books follow the POS catalogue, so quotes never use stale prices.

Quote-to-Invoice Flow

Zoho quotation to Lightspeed invoice to recorded sale, in one automated flow.

ZATCA-ready

Saudi tax compliance handled inside the flow, not bolted on afterwards.

Role-based Access

Secure user management across the sales, operations and finance teams.

Live Dashboards

Real-time KPIs on pipeline health, quotations and closed sales.

Our Approach

A project story in five steps

We closed the data gap first, then built the pipeline on top of trusted data, then automated the hand-off to the POS - so nothing went live on numbers the team had not validated.

Why it worked

The POS stayed the source of truth for products and prices; the CRM never competes with it.
The sync is one-way by design, which keeps the till clean and makes the data flow easy to reason about.
Sales staff got a pipeline that mirrors how they already sell, so adoption was immediate.
The Results

The system is live. The business is connected

Less manual work, more control - and one set of numbers across sales and operations.

What worked well

Closing the POS-to-CRM gap first gave every later step trusted data to build on.
