Zoho released DataPrep 3.0 on 28 October 2026, adding agentic AI that builds data pipelines from a plain language goal. For companies moving to Zoho from Tally, QuickBooks, spreadsheets or an older CRM, it is the most practical way to clean, match and validate data before it lands in the new system. This guide covers what changed, how to run a migration with it, and when the built-in import tools are enough.
Zoho DataPrep 3.0, announced on 28 October 2026, adds an agentic Ask Zia that plans and builds pipelines, a Data Quality agent, Python transforms in Code Studio, a rebuilt dForge engine and new connectors. In a migration, use it to profile, de-duplicate and map data before export to Zoho CRM, Zoho Books or Zoho Analytics. For a single clean file, or for QuickBooks Online into Zoho Books, Zoho's built-in import tools are usually enough.

What Zoho announced in DataPrep 3.0
Zoho announced Zoho DataPrep 3.0 on 28 October 2026, and the product's What's New page lists it as generally available from October 2026. The release moves DataPrep from a tool you click through to one where you describe a goal and an AI agent builds the pipeline for you to review.
| Area | What changed in 3.0 |
|---|---|
| Ask Zia (agentic) | You state a goal. Ask Zia plans, builds and runs the pipeline, and every step stays visible and editable as a rule before anything reaches the destination. |
| Specialist agents | A data preparation agent coordinates import, transform and export agents. A separate Data Quality agent assesses quality and suggests fixing transforms. |
| Agent memory | Ask Zia remembers your preferences and terminology across conversations. |
| Code Studio | Custom Python transforms you test on sample data, then deploy to the full dataset in the same pipeline. |
| dForge engine | A rebuilt engine. Zoho quotes 100x faster previews, 70% faster transforms during runs and 50% less storage. |
| Headless DataPrep | A DataPrep MCP server lets AI assistants create, author and run pipelines. |
| Connectors | New imports from Zoho Books, Zoho Inventory, WooCommerce and Zendesk (beta), plus new export destinations. |
Zoho also brought the same agent capabilities into Zoho Analytics data pipelines. The performance figures are Zoho's own claims, so test them on your data volumes before you plan cut over windows around them.
What DataPrep can connect, clean and deliver
Under the AI layer, DataPrep is an ETL and data preparation tool. The product page says it connects to more than 70 sources, and the 3.0 announcement says it has more than 400 built-in transforms.
| Stage | What is available |
|---|---|
| Import | Files (CSV, Excel, JSON and others), URLs, cloud storage such as Google Drive, OneDrive, Dropbox and Amazon S3, FTP, cloud databases, and Zoho apps. On-premise MySQL, MS SQL Server, Oracle and PostgreSQL are reached through the free Zoho Databridge utility, which only sends data out to DataPrep. |
| Transform | Deduplicate, Cluster and Merge (fuzzy matching), joins and appends, formulas, anomaly detection, Python in Code Studio, and data quality profiling. |
| Export | Destinations include Zoho Analytics, Zoho CRM, Zoho Creator, Zoho Directory, Salesforce, cloud databases, cloud storage, FTP and local files. |
| Automate | Schedules with full or incremental imports, failure notifications, and an option to stop export if data quality drops below 100%. |
| Govern | On paid plans: pipeline certification and publishing, tags, sharing, user groups and organisation admins. |
The plan comparison matters for migrations. The Free plan has no database or Zoho app connectors and no schedules. Standard includes 5 pipelined sources, 2 destinations and 3 users. Enterprise is unlimited and quoted on request.
Where DataPrep fits in a move to Zoho
DataPrep does not replace the import tools inside each Zoho app. It sits in front of them and makes sure the data arriving is clean, matched and complete. Here is how that looks for the most common sources in the region.
| Coming from | Zoho's built-in route | Where DataPrep adds value |
|---|---|---|
| Tally | Zoho Books publishes a Tally migration guide based on exporting Tally reports and importing them module by module. | Cleaning ledger and party names, merging duplicate debtors and creditors, and checking opening balances before import. |
| QuickBooks Online | Zoho Books has a dedicated QBO Migration module that imports a ZIP export and compares closing balances account by account. | Usually optional. Useful when you also need to merge QuickBooks customers with CRM or spreadsheet data. |
| Excel and shared drives | Standard import screens in each Zoho app. | Standardising formats across many files, removing junk rows and combining sheets into one clean dataset. |
| Legacy CRM | Zoho CRM's migration wizard supports Salesforce, Pipedrive, HubSpot, MS Dynamics and others, or CSV files. | De-duplication before load, because Zoho says the email duplicate check is not performed during data migration. |
| Legacy ERP or SQL database | No direct importer for most custom systems. | Reading the database through Databridge, reshaping tables and scheduling repeat loads during parallel running. |
A six step migration method using DataPrep
- Profile. Import a full extract of each source and run the data quality view. Record row counts, empty mandatory fields, invalid formats and outliers. This becomes your baseline.
- Cleanse. Use Deduplicate with ignore case and ignore whitespace, then Cluster and Merge for spelling variants. Start with the Flag duplicate records option so finance and sales can review flagged rows before anything is deleted.
- Map. For Zoho CRM, use target matching. It checks your columns against the module and flags unmatched columns, data type and format mismatches, mandatory field gaps and constraint errors before export.
- Validate. Run the pipeline into a test organisation or sandbox first. Compare record counts in and out, and spot check 20 to 30 records per module by hand.
- Reconcile. For accounting data, the trial balance is the test. Zoho Books' Tally guide requires debits and credits to match and the Opening Balance Adjustments account to be zero.
- Cut over. Freeze the old system, run a final incremental import of new and changed records, export, then switch users over. Keep the pipeline for a few weeks to catch late entries.
When exporting to Zoho CRM, choose between adding new records, updating existing ones, or both. Turn on Skip emptying a field when updating existing records so a blank value in your file does not wipe good CRM data. Zoho's CRM export guide also lists limits, including a per export record cap, so check them against your volumes.
Key takeaways
- Zoho announced DataPrep 3.0 on 28 October 2026, with agentic Ask Zia, a Data Quality agent, Code Studio for Python and the rebuilt dForge engine.
- DataPrep sits in front of each Zoho app's import tools and makes sure the data arriving is clean, matched and complete.
- Follow six steps: profile, cleanse, map, validate, reconcile and cut over, with a sandbox test load before go live.
- Zoho CRM's migration wizard does not run the email duplicate check, so de-duplicate before you migrate.
- Saudi VAT numbers and UAE TRNs both have fixed 15 digit formats that a DataPrep rule can validate.
- Schedules, database connectors and Zoho app connectors need a paid DataPrep plan.
Data quality problems common in Gulf businesses
Every migration has its own mess, but some patterns repeat across UAE, Saudi and wider GCC companies.
- Arabic and English names. The same customer appears as an Arabic name in one system and a transliterated English name in another, often with several spellings. Cluster and Merge offers Metaphone, Fingerprint and N-gram matching, which helps with spelling variants. Fuzzy matching compares text as written, so plan a separate step, such as a mapping column, to link Arabic script and Latin script records.
- Duplicate customers across branches. Each branch or salesperson created its own account record. Pick a survivorship rule (newest record, most complete record, or the one with a tax number) before you merge.
- Tax number fields. TRNs and VAT numbers stored as numbers lose leading characters, pick up spaces, or sit in free text notes. Keep them as text and validate the format.
- Mixed phone and date formats. Local numbers without country codes, and dates in both day first and month first order in the same column.
- Currency and unit drift. AED, SAR and USD values in one amount column without a currency field.
Tax number formats are fixed, so they are easy to test. ZATCA's e-invoice XML standard requires a seller VAT number of 15 digits whose first and last digits are 3. The UAE Ministry of Finance's e-invoicing guidelines describe the TRN as 15 digits, with the TIN being its first 10 digits. A simple DataPrep rule can flag every value that fails these checks.
Plan a clean move to Zoho

When to use DataPrep and when the built-in import is enough
| Situation | Use |
|---|---|
| One clean spreadsheet into one module | Built-in import |
| QuickBooks Online into Zoho Books | Built-in QBO Migration module |
| Several sources merged into one customer master | DataPrep |
| Heavy duplicates or inconsistent spellings | DataPrep |
| On-premise SQL or legacy ERP database | DataPrep with Databridge |
| Parallel running with repeat loads | DataPrep schedules |
| Ongoing feed into Zoho Analytics | DataPrep or Analytics data pipelines |
A useful rule: if you would clean the file by hand more than twice, build a pipeline. It records every step as a rule you can rerun. Remember that Zoho CRM's own import can skip or overwrite duplicates using unique fields, but Zoho's duplicate check help says the email check does not run during data migration.
Migration checklist
- List every source system, owner and record count.
- Set the migration date and freeze rules for the old system.
- Create custom fields, modules and tax settings in Zoho before importing.
- Profile each source and save the baseline quality report.
- Agree survivorship rules for duplicate customers and vendors.
- Store TRN, VAT and CR numbers as text and validate their formats.
- Standardise phone numbers, dates and currency fields.
- Use target matching before every Zoho CRM export.
- Run a full test load into a sandbox and sign off record counts.
- Reconcile the trial balance and receivables before going live.
- Run the final incremental load, switch users and keep the pipeline for late entries.
Planning your migration
DataPrep 3.0 makes the cleaning and mapping work faster, and Ask Zia lowers the skill needed to build a first pipeline. The decisions that make a migration succeed are still yours: which record wins, which balances are final, and when the old system stops.
