The challenge

What UPC Toner needed to fix

UPC Toner sells printer cartridges, office consumables and accessories in Saudi Arabia through branches and an online store. Thousands of SKUs move between branches and channels.

  1. Large SKU catalogueCartridges and consumables meant thousands of SKUs.
  2. Branch stockStock sat across branches and had to move between them.
  3. Online and in-store ordersWeb orders needed shipping or branch pickup.
  4. ReplenishmentFast movers had to be reordered on time.

Before and after

What changed for the team

BeforeAfter

Thousands of cartridge and consumable SKUs had to be managed

One SKU catalogue serves the online store and every branch

Stock sat across branches and had to move between them

Branch stock and inter-branch transfers are visible in Zoho Inventory

Web orders needed either shipping or branch pickup

Orders ship with courier tracking or are collected from the nearest stock

Fast-moving items had to be reordered on time

Reorders are driven by real sales shown in Zoho Analytics

How it works

The business process, step by step

  1. 01

    SKU upload

The catalogue team loads the full range of cartridges, consumables and accessories into Zoho Inventory as SKUs, and the same catalogue feeds the Zoho Commerce online store.

  2. 02

    Supplier procurement

Purchasing raises supplier purchase orders in Zoho Inventory, and goods are received into branch stock by barcode scanning so quantities are recorded against the right SKU.

  3. 03

    Branch stock

Zoho Inventory holds stock by branch, and staff use inter-branch transfers to move items between locations when one branch is short and another has stock.

  4. 04

    Online and retail orders

Customers buy through the Zoho Commerce online store or at branch POS. Both channels update branch stock, and B2B and repeat customers are kept in Zoho CRM.

  5. 05

    Pick, ship or pickup

Staff pick orders by barcode, then either ship them with courier tracking or hold them for branch pickup, so web orders can be fulfilled from the nearest available stock.

  6. 06

    Payment and replenish

Payments are recorded against ZATCA-compliant invoices in Zoho Books, and Zoho Analytics sales and stock dashboards show which fast movers need reordering based on real sales.

FAQ

Questions about this project

How do online orders use branch stock?

Zoho Commerce runs on the same catalogue as Zoho Inventory, and both online and POS sales update branch stock. A web order can then be shipped with courier tracking or collected from the branch that holds the stock, with inter-branch transfers used where needed.

How is a catalogue of thousands of SKUs kept accurate?

The catalogue is loaded once into Zoho Inventory and shared with the online store. Receiving and picking are done by barcode, so each movement is recorded against the correct SKU, and both sales channels update the same branch stock figures.

How are reorder decisions made?

Zoho Analytics sales and stock dashboards show how quickly each SKU is selling against the stock held at each branch. Purchasing uses this to raise supplier purchase orders for fast movers on time, so reorders follow real sales.
