The platform

Every Zoho application, not just the CRM

Most partners sell one or two apps well. We implement the suite, which matters because the value of Zoho is not any single product - it is that sales, finance, HR, support and projects finally share one record of the truth.

CRM, Books, One, People, Payroll, Creator, Desk, Projects, Inventory, Analytics, FSM, Recruit, Commerce, Campaigns, Sign, Flow and the rest. We will also tell you which of them you do not need.

Integrations

Works with what you already run

Nothing here requires you to throw out the tools that are working. We connect what earns its place, replace what does not, and make the boundary between the two explicit before we start.

Also connected on US projects: Salesforce, Microsoft 365, Teams, Slack, LinkedIn, Amazon, Pipedrive, Stripe, Square, Monday.com, DocuSign, Power BI and Plaid bank feeds. If it has an API - or even a nightly file drop - we have almost certainly connected something like it before.

Business software for US companies, built and run properly: the short answer

What it is
Business software for US companies from one team: Zoho implementation, custom software and applied AI.
Best suited to
Businesses in India, the Gulf and the US that have outgrown spreadsheets and disconnected tools and want one system rather than several that need reconciling.
Typical timeline
A focused rollout for a small team goes live in three to six weeks. A multi-app deployment with data migration and integrations usually runs eight to sixteen weeks.
What it costs
Quoted as a fixed price in your local currency after a free 30-minute discovery call. The price depends on scope, the state of your data and what has to be integrated; software licenses are billed separately by the vendor.
Local specifics
Multi-state sales tax by ship-to address (Avalara where needed), 1099 and payroll tax tracking, QuickBooks migration, CCPA-aware data handling in Zoho’s US data center, and delivery across US time zones (ET to PT).
Delivered by
Shyphan AI Solutions. Support on your own working hours, Monday to Friday, in English. Call +1 840 688 8419.

Zoho in the US

Getting Business Software Company US right in the US

Rolling out Zoho in the US goes best when the local rules are designed in from day one. These are the four we start with in Business Software Company US.

Sales tax in the design

Taxability, nexus states and exemption certificates are part of the first configuration, not a phase two.

Payroll and 1099s connected

Payroll journals, contractor 1099 tracking and benefits deductions feed the ledger from the start.

One record per entity

LLCs, subsidiaries and locations keep their own books, with group reporting on top.

Coast-to-coast delivery

Workshops, training and support scheduled across Eastern to Pacific time, remote by default.

US compliance

What US compliance means for Business Software Company US

There is no federal VAT in the United States. Tax work is split between the IRS and up to 46 state tax authorities, and it follows where you have nexus, not where you are based. These are the rules a US setup has to get right.

ObligationWhat the rule isWhat has to be configured
Sales and use tax45 states and Washington DC levy a statewide sales tax, and many cities and counties add their own. You collect where you have nexus: a physical presence, or economic nexus since the 2018 Wayfair decision, commonly $100,000 of sales into a state. Marketplaces collect for their sellers under marketplace facilitator laws.Tax calculated from the ship-to address (directly or through Avalara), exemption certificates stored for resale and exempt customers, and a sales tax liability report by state and filing period.
Income taxC corporations pay 21% federal corporate income tax on Form 1120, plus state corporate tax where they have nexus. LLCs and S corporations usually pass income through to their owners.A chart of accounts that maps to the return, clean entity separation, and 1099 vendors flagged so contractor payments are tracked as they happen.
Payroll taxesFederal income tax withholding, Social Security and Medicare (FICA), and federal and state unemployment tax. Form 941 is filed quarterly and W-2s go to employees by January 31. Contractors paid $600 or more get a 1099-NEC by the same date.Payroll run through a US payroll provider or Zoho Payroll where available, with journals posting to the ledger and employee versus contractor status recorded on every person.
Hiring and HRForm I-9 employment eligibility verification for every new hire, E-Verify in some states, and state-specific rules on paid leave, overtime and final pay.Onboarding checklists with I-9 deadlines, document tracking, and leave and overtime policies configured by state where you have employees.
Privacy and securityNo single federal privacy law. California's CCPA (as amended by CPRA) and comprehensive laws in a growing number of states give consumers access, deletion and opt-out rights. HIPAA applies to health data, CAN-SPAM to email and the TCPA to calls and texts. Customers increasingly ask for SOC 2.Accounts provisioned in Zoho's US data center, role-based access and audit logs, consent and deletion workflows, and a business associate agreement in place before any health data is stored.

The filing calendar

  • Monthly, quarterly or annuallySales tax returns in each state where you are registered, at the frequency each state assigns
  • QuarterlyForm 941 payroll tax return and estimated income tax
  • January 31W-2s to employees and 1099-NEC to contractors
  • April 15Form 1120 for calendar-year C corporations (March 15 for S corporations and partnerships)

Who you file with

  • Federal income and payroll taxInternal Revenue Service (IRS)
  • Sales and use taxEach state's department of revenue (or comptroller) where you are registered
  • Unemployment insuranceEach state's workforce agency
  • Employment eligibilityUSCIS Form I-9

We configure the system to produce what these returns need, and we test it against your own transactions before go-live. We are not tax advisers: your CPA or tax preparer signs the returns, and thresholds and rates change by state, so treat this as the shape of the work rather than advice. US compliance

The American bits we handle as standard

A system that is not ready for your CPA and your tax filings is not finished, whatever the demo looked like. These are configured during the build, not raised as a change request afterwards.

If you operate more than one entity, or trade in more than one currency, say so on the first call. Retrofitting an entity split after a year of mixed transactions costs far more than setting it up correctly on day one.

Security & governance

The questions your IT and legal teams will ask

Most of these come up at contract stage and hold projects up for weeks. Here are the answers in advance, so procurement has something to work with on day one.

NDA and DPA before data movesWe sign a mutual NDA and a US privacy law data processing agreement before we are given access to anything, not after the kick-off.
Data residency you chooseZoho runs a US data center. If your data must stay in the United States, we set the account up in that region from the start, because it cannot be moved later.
Least-privilege accessNamed consultants, individual logins, the minimum role needed for the task, and access revoked at handover. No shared admin credentials.
Your code, your repositoryCustom work is committed to a repository you own from the first commit. There is no escrow arrangement to negotiate because there is nothing being withheld.
Change control in writingScope changes are quoted and approved before they are built. You will not find them on an invoice at the end of the month.
SLA-backed supportDefined response and resolution targets on US business hours, with a named consultant and an escalation path that reaches a director.
Documented handoverConfiguration notes, admin credentials, integration details and a walkthrough call, so another team could pick it up without us.
Backups and rollbackData is exported and verified before every migration, and releases are staged so a bad change can be reversed rather than fixed live.

Delivery is remote by default, which is what keeps the price down and the timeline short. Where discovery, data migration or training genuinely benefits from being in the room, we schedule on-site attendance in New York, Chicago or Los Angeles - and say so in the quote rather than adding it later.

How we work

From first call to live in five clear steps

No discovery invoice, no open-ended day rate. You know the scope, the price and the date before anyone starts building.

  1. 01Discovery call

Thirty minutes on what you run today, what is not working, who it affects and what a good outcome looks like. Free, and with no sales sequence afterwards.

  2. 02Blueprint and fixed quote

A written plan: the applications, the customizations, the integrations, the timeline and a fixed price in USD. You can take it to another partner if you want to.

  3. 03Build and migrate

We configure and build, then migrate your data from Salesforce, HubSpot, Sage, Xero, QuickBooks or spreadsheets, cleaning duplicates on the way in.

  4. 04Train and go live

Admin and end-user training, a parallel run against the old system for the first cycle, then launch. Nobody is asked to trust the new system blindly.

  5. 05Support and improve

An optional care plan on US hours with a named consultant: new users, new automations, and the enhancements that only become obvious once people are using it.

Working with us

What the engagement actually feels like

  • One named consultant, start to finishThe person who scoped it is the person who builds it. No handover to a delivery pod you have never met.
  • A weekly call and a written summaryWhat shipped, what is next, what is blocked and what we need from you. Fifteen minutes, every week, in writing.
  • Working software early, not at the endYou see the first configured module inside two weeks and react to something real rather than to a specification.
  • Straight answers about scopeIf something you have asked for is a bad idea, or cheaper done another way, we say so before it is built.
Engagement models

Three ways to work with us

Pick the one that matches how much of the problem is already defined. We will tell you on the first call which we think fits, including when that is the cheapest option rather than the largest.

Fixed-scope project

When you know roughly what you need

  • Written scope and a fixed price in USD
  • Phased releases, not one big launch
  • Training and handover included
  • Thirty days of post-launch cover
Scope a project

Managed service

When you need it run, not just built

  • A named consultant, not a ticket queue
  • SLA-backed response on US business hours
  • A monthly pool of hours for changes
  • Quarterly review of what to improve next
Talk about cover

Embedded team

When the roadmap is longer than one project

  • Developers and consultants working to your backlog
  • Productive in about two weeks
  • Your tooling, your standards, your code repository
  • Scale up or down at a month’s notice

Why teams pick us

What this looks like against the usual options

The honest version. There are jobs where a reseller is the cheaper answer and jobs where a large consultancy is the safer one. This is where we sit between them.

A certified team you can actually verify

Partner status is easy to claim and easy to check. Ours is listed on Zoho’s own directory, and the individual certifications below are held by named people on the delivery team, not by the company in the abstract.

Who this is for

Is this the right fit for you?

This suits US companies of roughly 10 to 500 staff that have outgrown spreadsheets and a drawer of disconnected tools, where somebody internally can own the data and make decisions. If that is you, the first system usually pays for itself inside the first two quarters.

It is a poor fit if you are looking for the cheapest possible license reseller, if the requirements are still changing weekly, or if nobody internally has the time to be the counterpart. In any of those cases we will say so on the first call rather than after the invoice.

Where this service is weak - and what we do about it

We are not the cheapest, and we decline work where the budget will not cover doing it properly or where the product is the wrong answer.

How we handle it: You get a written recommendation after the free discovery call either way, including when that recommendation is not to proceed.

FAQ

The questions we get asked first

What does Business Software Company US cover for a US company?
Discovery, configuration, data migration, integrations and training, with sales tax, payroll and 1099 reporting built into the first release. The scope and a fixed price in USD are agreed in writing before work starts.
Do you provide Business Software Company US on site in the US?
Delivery is remote by default across US time zones. Where workshops or training benefit from being in the room, we schedule on-site days and agree them in the quote.
Are you an authorized Zoho partner in the US?
Yes. Shyphan AI Solutions is a Zoho Premium Partner and is listed on Zoho’s own partner directory, which you can check independently rather than taking our word for it. Partner status means Zoho has vetted us and that you get a named implementation team rather than a reseller account.
Do you actually work with US clients, or just sell into the US?
We deliver across US time zones with a US contact number and a US-specific approach: multi-state sales tax, 1099 and payroll reporting, CCPA-aware data handling and USD pricing. Delivery is remote by default, which is what keeps the price down, with on-site attendance in New York, Chicago or Los Angeles where discovery or training genuinely warrants it.
How long does a rollout take?
A single-app Zoho rollout for a small team typically goes live in three to five weeks including data migration and training. Multi-entity, multi-currency or heavily automated builds run six to twelve weeks and we phase them, so the first group is working while the next is configured. Custom software ships a first usable version in six to ten weeks, and a scoped AI pilot reaches real users in three to five.
What does Business software for US companies, built and run properly cost in the US?
Every engagement is quoted as a fixed price in USD after a free discovery call, with the scope written down so the number does not move unless the scope does. Zoho license fees are billed by Zoho directly, usually per user per month, and we show them separately so you can see what is our fee and what is the software.
Can you handle US sales tax properly?
Yes, and it is configured during the build rather than raised afterwards as a change. That means sales tax set up for every state where you have nexus, exemption certificates on file for resale customers, and liability reports that reconcile to the ledger. The filing itself stays with your accountant; our job is to make their work straightforward.
We already run Sage, Xero or QuickBooks. Can you migrate us?
Yes. We migrate customers, suppliers, open balances, historical transactions and stock, clean the duplicates on the way in, and run the old system alongside the new one for the first cycle so nothing is taken on trust. Migration from Salesforce, HubSpot, Pipedrive, Monday and spreadsheets is equally routine.
How do you handle our data under US privacy law?
We sign a data processing agreement before any data moves, work on the least access needed to do the job, and set up lawful-basis fields, consent capture and retention rules inside the system itself. Zoho’s US data center residency is available if you want your data held in the United States rather than elsewhere.
What happens if we want to leave?
You own your data and, on custom builds, your source code. There is no lock-in clause and no exit fee. We hand over documentation, admin credentials and the repository, and we will do a handover call with whoever takes it on. A partner who has to trap clients to keep them is not one worth hiring.
Do you build things that are not Zoho?
Regularly. Zoho covers most business processes well, and when it does not we say so rather than bending the platform into a shape it was not meant for. That is when the custom software and AI practices pick it up, and because it is one team the bespoke system is designed to sit alongside the platform rather than beside it.
What does the first conversation cover?
Thirty minutes on what you run today, what is not working, who it affects and what a good outcome looks like. You leave knowing whether we are a fit and roughly what the work involves, with no obligation either way and no sales sequence afterwards.
