Email Security & Anti-Phishing

Email security protects your inboxes from phishing, malware, invoice fraud and spoofed senders, and stops others from sending mail that pretends to be you. It is for any organisation that runs on Microsoft 365, Google Workspace or a hosted mail server.

  • Fewer phishing emails reach staff
  • Your domain harder to spoof
  • One-click reporting for users
In short

Email security and anti-phishing is the combination of filtering rules, domain authentication records (SPF, DKIM and DMARC) and impersonation controls that keeps fraudulent and malicious messages out of staff inboxes and stops criminals sending mail as your domain. Shyphan AI ITSM configures and maintains these controls for Microsoft 365 and Google Workspace tenants in the UAE and Saudi Arabia.

Overview

Email Security & Anti-Phishing: what it involves

Email is where most fraud attempts begin. A convincing message asking finance to change supplier bank details, a fake Microsoft 365 login page or an attachment carrying malware can each cost far more than the tools that would have stopped them. Default mailbox settings catch obvious spam but often leave domain authentication incomplete, external sender warnings switched off and lookalike domains unnoticed.

We review your mail flow, then configure SPF, DKIM and DMARC step by step, moving DMARC from monitoring to enforcement once legitimate senders such as your CRM and billing tools are aligned. We tune filtering and impersonation policies in Microsoft Defender for Office 365, Google Workspace or a third-party gateway, add attachment and link scanning, and give staff a report button so suspicious messages reach our analysts quickly.

What we look at

  1. 1Whether SPF, DKIM and DMARC records exist and are aligned
  2. 2Which third-party services send email using your domain
  3. 3Auto-forwarding rules to external addresses
  4. 4External sender tags and warning banners
  5. 5How staff report a suspicious message today

Email Security & Anti-Phishing: project phases

  1. 01Mail-flow discovery

We identify every system that sends or receives your email, from CRM and billing tools to office scanners.

  2. 02Authentication setup

SPF, DKIM and DMARC are published in monitoring mode and legitimate senders are aligned one by one.

  3. 03Policy hardening

Filtering, impersonation protection, external tagging and forwarding rules are tightened for your tenant.

  4. 04Enforce and monitor

DMARC moves to quarantine and then reject, and reports are reviewed for new senders or spoofing.

Avoid these

Common Email Security & Anti-Phishing mistakes

Stopping at a monitoring policy

A DMARC policy of none reports spoofing but blocks nothing, so plan the move to enforcement from the start.

Too many SPF lookups

Adding every vendor include can push SPF past its lookup limit and make legitimate mail fail, so keep the record tidy.

Ignoring parked domains

Domains that send no mail can still be spoofed, so publish restrictive SPF and DMARC records for them too.

Allowing silent external forwarding

Automatic forwarding to outside addresses is a common sign of a compromised mailbox, so block it or alert on it.

Key terms

Email Security & Anti-Phishing terms explained

SPF
A DNS record listing the servers allowed to send email for your domain.
DKIM
A digital signature added to outgoing mail so receivers can confirm it came from your domain and was not altered.
DMARC
A DNS policy telling receivers what to do with mail that fails SPF or DKIM checks, and where to send reports.
Business email compromise
Fraud in which criminals use or imitate a real mailbox to trick staff into paying money or sharing data.

UAE and Saudi Arabia

Email Security & Anti-Phishing in the UAE and Saudi Arabia

Local offices in Ras Al Khaimah and Riyadh, remote support around the clock and on-site visits where your project needs them.

Email Security & Anti-Phishing in the UAE

Shyphan AI Technology LLC, RAK Free Trade Zone, Ras Al Khaimah

UAE groups often run separate domains for mainland, free zone and DIFC or ADGM entities, and each one needs its own authentication records and DMARC policy. Invoice fraud aimed at finance teams and suppliers is a frequent concern here, so we pay close attention to lookalike domains and payment-change requests written in English and Arabic. We support the Emirates from our Ras Al Khaimah office, remotely around the clock and on site where needed.

  • Data handled in line with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), and the separate DIFC and ADGM regimes where they apply.

Email Security & Anti-Phishing in Saudi Arabia

Shyphan AI Technologies LLC, Malaz, King Abdulaziz Road, Riyadh

Saudi organisations frequently send customer mail through local gateways, ERP systems and e-invoicing platforms, and all of them must be aligned before DMARC is enforced. Email protection is also one of the areas covered by the NCA Essential Cybersecurity Controls, so documented settings and reports form part of the evidence for entities in scope. Our Riyadh office leads this work in the Kingdom.

  • Work aligned with the Saudi Personal Data Protection Law (SDAIA) and, for government and critical infrastructure, the NCA Essential Cybersecurity Controls.
FAQ

Email Security & Anti-Phishing: common questions

What are SPF, DKIM and DMARC?

They are DNS records that tell receiving mail servers which systems may send email for your domain and what to do with messages that fail the check.

Is the filtering in Microsoft 365 enough?

It is a good base, but default settings are rarely tuned. We review and adjust the policies first, and only suggest an extra gateway if there is a clear gap.

Will DMARC enforcement block our legitimate email?

Not if it is done in stages. We start in monitoring mode, identify every legitimate sender, align them and only then move to quarantine and reject.

Can you help with invoice and payment fraud emails?

Yes. Impersonation rules, external sender warnings and a simple payment verification step for finance staff together reduce that risk.

How can a Dubai company tell if someone is spoofing its domain?

DMARC aggregate reports show which servers are sending mail using your domain. We collect and read those reports and flag any sender you do not recognise.

Does email security catch Arabic-language phishing?

Yes. Filtering looks at sender behaviour, links and attachments as well as wording, and we tune impersonation rules for names and domains used in Arabic and English messages.

Do you provide Email Security & Anti-Phishing in Dubai and Riyadh?

Yes. We deliver Email Security & Anti-Phishing across the UAE from our Ras Al Khaimah office and across Saudi Arabia from our Riyadh office, with remote support 24/7 and on-site visits in cities such as Dubai, Abu Dhabi, Riyadh, Jeddah and Dammam where your project needs them.
