Data Loss Prevention (DLP)
Data loss prevention (DLP) identifies sensitive information such as customer records, financial data and ID numbers, and controls how it can be shared or moved. It is for organisations that handle personal or confidential data and must show they protect it.
- Sensitive data located and labelled
- Risky sharing warned or blocked
- Policies that respect daily work
Data loss prevention (DLP) is a set of policies and tools that find sensitive information, such as customer records, ID numbers and financial data, and control how it can be emailed, shared, uploaded or copied. Shyphan AI ITSM discovers, classifies and protects sensitive data in Microsoft 365, Google Workspace and on endpoints for organisations in the UAE and Saudi Arabia.
Data Loss Prevention (DLP)Data Loss Prevention (DLP): what it involves
Data leaves organisations in ordinary ways: a spreadsheet of customer details emailed to a personal address, a contract shared with an anyone-with-the-link setting, payroll files copied to a USB stick, confidential text pasted into a public AI tool. Most of it is careless rather than malicious, but data-protection laws and customer contracts treat the outcome the same. You cannot protect data you have not found.
We begin by discovering where sensitive data sits in Microsoft 365, Google Workspace, file servers and endpoints, and agree a simple classification scheme with your teams. We then configure DLP policies in Microsoft Purview or another suitable platform, starting in monitor mode, moving to user warnings with a business justification option and finally blocking the highest-risk cases. Alerts route to named owners and we tune rules monthly to cut false positives.
What we map first
- 1Which data types matter: personal, financial, health or IP
- 2Where that data is stored and who can open it
- 3How it normally leaves: email, sharing, portals or USB
- 4Which teams genuinely need to send it externally
- 5Who owns and acts on DLP alerts
Our Data Loss Prevention (DLP) scope
Find sensitive data and stop it leaking through email, sharing, USB or uploads.

Sensitive data found across cloud storage, email and file servers.
A simple labelling scheme your staff can apply and understand.
Controls on external email and public sharing links.
USB copying, printing and uploads managed on devices.
Warnings that explain the risk and offer a justified override.
Alerts triaged, rules tuned and trends reported monthly.
What you receive, and what shapes the cost
What you receive
- Sensitive data map showing where key data types are stored and who can open them
- Classification scheme and labels agreed with your departments
- DLP policies for email, sharing links, endpoints and cloud uploads
- Policy tips that explain each warning to users in plain language
- Monthly alert review with tuning notes and a trend summary
What affects the cost
- Number of users and data locations, including file servers and cloud storage
- Which DLP features your current licences already include
- Number of custom data types, such as local ID or account number formats
- Whether endpoint controls for USB, printing and uploads are in scope
Data Loss Prevention (DLP): project phases
- 01Discover data
We scan storage and mail to find where sensitive information actually sits.
- 02Classify
A short labelling scheme is agreed and applied, starting with the most sensitive data.
- 03Monitor first
Policies run in monitoring mode so normal business flows are understood before anything is blocked.
- 04Warn and block
Users receive tips and justified overrides, and only clearly risky actions are blocked.
Common Data Loss Prevention (DLP) mistakes
Strict blocking before understanding normal work stops legitimate business, so monitor first.
Complex schemes confuse staff, so keep to a few labels people can apply easily.
Default detectors may miss regional ID or IBAN formats, so add custom patterns for your markets.
Alerts nobody reviews prevent nothing, so assign owners and a review routine.
Data Loss Prevention (DLP) terms explained
- Sensitivity label
- A tag applied to a file or email that sets how it may be shared and protected.
- Sensitive information type
- A pattern, such as a card or ID number format, that DLP uses to recognise data.
- Exact data match
- Detecting specific values from your own records, such as real customer IDs, rather than general patterns.
- Policy tip
- A message shown to a user explaining why an action is risky and what to do instead.

The difference you will notice
- 01Data you can see
A map of where sensitive information lives.
- 02Fewer accidental leaks
Risky actions caught before data leaves.
- 03Evidence of control
Records that support privacy and audit requirements.
Five steps from assessment to always-on support
- STEP 01Assess
We review your infrastructure, security posture, assets and support model, and agree priorities.
- STEP 02Design
A clear architecture and plan, with scope, timeline and a fixed quote before work starts.
- STEP 03Deploy
We supply, install, configure and migrate, then document everything we build.
- STEP 04Manage
Ongoing support, monitoring and maintenance under agreed SLAs.
- STEP 05Improve
Regular reviews, reports and recommendations as your business grows.
Data Loss Prevention (DLP) in the UAE and Saudi Arabia
Local offices in Ras Al Khaimah and Riyadh, remote support around the clock and on-site visits where your project needs them.

Data Loss Prevention (DLP) in the UAE
Shyphan AI Technology LLC, RAK Free Trade Zone, Ras Al KhaimahUAE organisations handle data such as Emirates ID numbers, passport copies and payroll records, so we add custom detection for these formats alongside the default patterns. DLP supports the security measures expected under the UAE PDPL and, for firms in DIFC or ADGM, under their own data-protection regimes, although it does not make a business compliant on its own. We support the Emirates from our Ras Al Khaimah office, remotely around the clock and on site where needed.
- Data handled in line with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), and the separate DIFC and ADGM regimes where they apply.

Data Loss Prevention (DLP) in Saudi Arabia
Shyphan AI Technologies LLC, Malaz, King Abdulaziz Road, RiyadhIn Saudi Arabia, DLP commonly targets national ID and Iqama numbers, health records and customer data that the PDPL, overseen by SDAIA, expects organisations to protect. Controls on uploading data to services outside the Kingdom also help businesses manage cross-border transfer risk, alongside legal advice on which transfers are permitted. Our Riyadh office leads this work in the Kingdom.
- Work aligned with the Saudi Personal Data Protection Law (SDAIA) and, for government and critical infrastructure, the NCA Essential Cybersecurity Controls.
Data Loss Prevention (DLP): common questions
Will DLP stop staff from doing their jobs?
Not if it is rolled out in stages. We start by monitoring, then use warnings with a justification option, and block only clearly risky cases.
Do our Microsoft 365 licences include DLP?
Many Microsoft 365 business and enterprise plans include some Purview DLP features. We check what you already own before suggesting anything extra.
Can DLP help with data-protection laws?
DLP is one of the technical measures that supports data-protection obligations, alongside access control, encryption and good processes. It does not make you compliant on its own.
Can DLP cover generative AI tools?
In many cases, yes. Policies can warn or block when sensitive content is pasted or uploaded to unapproved web services.
Can DLP detect Emirates ID or Saudi national ID numbers?
Yes. We configure custom detection patterns for local ID and Iqama formats and test them against sample data to reduce false matches.
Does DLP read employees' private messages?
DLP checks business content in company systems against defined rules. We agree scope with HR and management and limit access to alert details to named reviewers.
Do you provide Data Loss Prevention (DLP) in Dubai and Riyadh?
Yes. We deliver Data Loss Prevention (DLP) across the UAE from our Ras Al Khaimah office and across Saudi Arabia from our Riyadh office, with remote support 24/7 and on-site visits in cities such as Dubai, Abu Dhabi, Riyadh, Jeddah and Dammam where your project needs them.
