Most enquiries are one of these. If yours is something else, the call will still be useful.
Leads sit in inboxes, follow-ups depend on memory, and nobody can forecast. We build the pipeline in Zoho CRM around how you actually sell.
Bank feeds unreconciled, digital links broken, adjustments every quarter. We set up Zoho Books as an the Companies and Intellectual Property Commission (CIPC)-recognised eFiling ledger.
Separate CRM, helpdesk, HR, expenses, e-sign and reporting, none of them talking. Zoho One puts 45+ apps on one licence and one login.
Certified across the products South African businesses actually buy, and honest about the ones you do not need.
The platform is generic; the value is in configuring it around sector process. These are South Africa sectors we are called into most, and the specifics we handle in each.
supplier compliance deductions, the VAT domestic reverse charge and retentions handled in Zoho Books, with cost tracked per site.
Utilisation, work in progress and scope creep visible weekly instead of after the month has closed.
Job orders, submissions, placements and margin in one ATS, with POPIA consent and retention on candidate data.
the Companies and Intellectual Property Commission (CIPC)-recognised eFiling filing, unbroken digital links and bank feeds that reconcile on rules, not by hand.
True cost per unit including landed cost, stock that matches reality, and quotes from a live price list.
One stock pool across shop, website and marketplaces, with payouts reconciled and margin visible per SKU.
Jobs dispatched by skill and location, completed with photos and signature offline, invoiced the same day.
Referrals tracked to outcome and no-shows cut by deposits and reminders, with clinical records left where they are.
Not on the list? Most of what we build is process work rather than sector software, so the discovery call will tell you quickly whether we are a fit.
You approve each stage before the next one starts, and the price is agreed before any build work begins.
Thirty minutes on what you run today, what hurts, and whether Zoho is genuinely the right answer. We say so when it isn’t.
Day 1A written scope covering apps, editions, migration and integrations, priced as a fixed sum in ZAR with no day rates.
Within 3 working daysConfiguration in a sandbox, a data-migration dry run you sign off, then acceptance testing on your own scenarios.
2-6 weeks typicalRole-based training, written runbooks, then hypercare and an optional care plan on South African working hours.
OngoingStart small and stop, or run the whole programme. Each stage is scoped and priced on its own, so you are never committing to the next one to get value from this one.
| Stage | 01 Assess | 02 Implement Most common | 03 Operate |
|---|---|---|---|
| What it is | A fixed-fee review of your current systems, data and process, ending in a written recommendation. | Discovery, configuration, migration, testing, training and go-live on an agreed scope. | Ongoing administration, changes, monitoring and quarterly reviews once you are live. |
| Typical duration | 1 to 2 weeks | 2 to 6 weeks for a focused rollout, 3 to 6 months phased for full ERP | Rolling, reviewed annually |
| You receive | Findings, target design, phased roadmap and effort estimates - yours to take anywhere. | A configured, migrated and tested system, written runbooks and role-based training. | A named consultant, agreed response times and a monthly allowance for changes. |
| Best suited to | Teams who inherited a setup nobody understands, or need a second opinion before committing budget. | Teams replacing spreadsheets or a legacy tool with a defined go-live date. | Teams live on Zoho with nobody internally owning the platform. |
| Commercials | Fixed fee, ZAR | Fixed quote, ZAR - agreed before build starts | Fixed monthly fee, ZAR |
Zoho licence fees are billed separately by Zoho and are never bundled into our quote. We tell you which edition you need and why, including when a cheaper one will do.
Plenty of firms describe themselves as Zoho specialists. Ours is checkable: our partner status is listed on Zoho’s own directory, and our consultants’ certificates are published below with their names on them.

The questions procurement and finance ask before a project is signed off, answered up front rather than in a questionnaire three weeks later.
South African clients are provisioned in Zoho’s European data centre, so application data is processed and stored in the SADC region. We document it for your record of processing.
We sign an NDA as a matter of course and work to written processing terms. Sandbox work uses masked or sample data wherever the real thing is not needed.
Roles, profiles and sharing rules are designed before go-live, and our own access is scoped and removable. Admin credentials stay in your ownership throughout.
Every migration ends in a written reconciliation: record counts, financial totals and open items compared and signed off before the old system is retired.
Configuration notes, Deluge, integration runbooks and admin training are handed over in full. There is no encrypted black box you need us to maintain.
Scheduled jobs and integrations are built with retries, alerting and exception reports, so a silent failure reaches a human the same day rather than at month end.
Almost everything South African SARS wants arrives through eFiling, and payroll arrives on or before the day people are paid. For a subsidiary of an overseas group the harder part is usually not the South African return itself but keeping the South African books in a shape that satisfies both SARS and the parent's reporting calendar.
| Obligation | What the rule is | What has to be configured |
|---|---|---|
| VAT | The standard rate is 23 per cent, with 13.5 and 9 per cent reduced rates and a zero rate on several categories. VAT201 returns are monthly or bi-monthly depending on turnover through eFiling by the last business day of the month, and a Return of Trading Details follows annually. | Tax rules per rate and per supply type, VAT on imported services, zero-rated exports and the correct treatment of exempt supplies, and a VAT201 that reconciles to the ledger without a spreadsheet in between. |
| PAYE with monthly EMP201 declarations | A payroll submission goes to SARS on or before each payday, carrying PAYE, UIF and SDL for every employee. There is no annual EMP501 reconciliation. | SARS tax directives imported before each run, so employees are taxed on the credits SARS has actually issued rather than last month's. |
| B-BBEE and supplier compliance | Principal contractors in construction, forestry and meat processing must notify each contract and each payment to SARS, and deduct at the rate SARS returns. | Supplier records that hold the VAT registration number, B-BBEE certificate and payment terms, with remittance advice built in.to the payment run. |
| Corporation tax | 12.5 per cent on trading income and 25 per cent on passive income, with a 15 per cent effective minimum for in-scope large groups under Pillar Two. | Trading and non-trading income separated in the ledger from the start, because splitting them afterwards is where the time goes. |
| Companies and Intellectual Property Commission | An annual return on CIPC annual return within 56 days of the annual return date, with financial statements attached. | Statutory accounts produced from the same ledger the management accounts come from, so the two do not have to be reconciled. |
| POPIA | The the Information Regulator supervises POPIA in South Africa, and is lead supervisory authority for many of the technology companies established here. | Lawful-basis and consent records held against the contact, retention applied by the system, and subject access answered from a report rather than a search of inboxes. |
We configure the system to produce what these returns ask for, and we test it against your own transactions before go-live. We are not tax agents: your accountant or tax adviser signs the return, and rates and thresholds change, so treat this as the shape of the work rather than advice. Last reviewed 15 September 2026.
